Benefits to You
We pay 95% to 99% of medical insurance premiums for full-time employees, including mental health coverage.

Position Highlights
The Deschutes County Circuit Court in Bend, Oregon, is hiring a Court Operations Supervisor (Supervisor 3).
In this role, you will hire, train, coach, mentor, and motivate the Court Operations staff. You will assign and set priorities for staff work assignments, review completed work for accuracy and timeliness, and provide feedback. You will schedule and attend monthly work unit meetings and keep staff informed about changes to laws, rules, policies, and procedures. You will approve time sheets, maintain employee records, conduct performance appraisals, identify and resolve workflow and personnel issues, and reward and discipline staff as appropriate. When hiring needs arise, you will create and update position descriptions, conduct job interviews and reference checks, make job offers, and update training materials.
As a member of the court’s management team, you will analyze the effectiveness of work unit operations, participate in weekly team meetings, and bring issues to the team in an honest, constructive, and solution-oriented manner. You will develop and implement new court policies, procedures, and forms, and you will implement changes to existing court procedures in response to statutory changes and customer service needs. You will also foster strong working relationships with judges, court staff, public and private-sector agencies, upper-level managers, external stakeholders, and community partners to help increase our court’s effectiveness.
You will spend part of your time resolving complex issues regarding appellate transcripts, retaining and dispositioning exhibits within prescribed policies and timelines, monitoring individual workloads to ensure the court is meeting mandatory deadlines and performance measures, and teaching staff about our business continuity plan, evacuation strategies, and emergency procedures.
Assigned tasks may be changed to accommodate workload and organizational needs.

Minimum Qualifications

The qualified candidate must have an associate’s degree in business, management, or a related field.
AND
Five (5) years of progressively responsible supervisory or staff-support experience. Qualifying OJD experience would be at the equivalent of Court Operations Associate or above.
Note: Your recent experience must reflect staff support or supervision, directly or through lead workers, of staff performing a wide variety of clerical, analytical, and technical support duties. The supervisory experience must include most, or all, of the following:
special projects,
developing and updating policies and procedures,
hiring or recommending hiring,
training,
assigning and reviewing work,
evaluating performance,
responding to staff concerns, and
handling disciplinary actions.
OR
Any combination of education and experience equivalent to seven (7) years of experience that typically supports the knowledge, skills, and abilities for the position.

Experience supervising staff, with demonstrated success in training, coaching, motivating, assigning and evaluating work, and handling discipline.
Experience recognizing, addressing, and managing conflict in a business or professional setting.

Experience evaluating statutory, rule, or system changes to ensure rules, processes, or procedures are compliant and meet all necessary requirements.
Experience creating and developing business processes, recognizing and addressing inefficiencies and process errors.
Experience working in a court environment is preferred.
Working Conditions
This is a full-time position, and the general work schedule is 8:00 a.m. to 5:00 p.m. Monday through Friday. This position is FLSA-exempt and ineligible for overtime compensation for hours worked in excess of 40 per workweek.
Occasional irregular, after-hours, and overtime work may be required.
This position provides backup coverage for supervisors in the Court Information and Accounting section and the Court Records section.
This position constantly monitors courtroom dockets to re-evaluate staffing needs in each of the courtrooms and must make quick/immediate decisions regarding reallocation of staff, balancing individual courtroom needs, judges’ expectations, and staff availability.
Frequent phone and in-person contact with people from diverse backgrounds.
Frequent phone and in-person contact with people who may be facing challenging life circumstances, highly stressful situations, or trauma.
Long periods of sitting or standing.
Regular use of the following equipment: electronic recording equipment, telephone, OJD-assigned computer with multiple monitors, copy machine, fax machine, and scanner.
