JOB DETAILS

  • Schedule: Monday – Friday, flexible start time around core business hours
  • Occasional overtime available based on business needs
  • This role is on-site at our Lakeland Office; it is not open to remote/hybrid work
  • Pay Range: $17.50 - $18.50 per hour (depending on experience/qualifications)

QUALIFICATIONS

Education: High school diploma/G.E.D. equivalent

Related Work Experience: At least 1 year related work experience

Supervisory Experience: No supervisory experience is required

Job Summary

Process internal and external requests to modify ownership deeds and other paperwork associated with ownership records. Perform research and determine if proper documentation has been received in order to process property transfer functions. Assess documentation provided in accordance with local real estate, title, legal regulations, and company policies. Monitor and respond to inbound customer, client, and communications via email, voicemail, etc. in a timely manner. Record and store information using computers with business processing software. Identify issues and escalate to the appropriate person and/or department. Keep team leads/managers/directors abreast of trends and issues or status of work.

Follow all company safety and security policies and procedures; report accidents, injuries, and unsafe work conditions to manager. Follow all company policies and procedures; maintain confidentiality of proprietary information; protect company assets. Anticipate and address owners’ service needs. Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees. Ensure adherence to quality expectations and standards; identify, recommend, develop, and implement new ways to increase organizational efficiency, productivity, quality, safety, and/or cost-savings. Enter and locate work-related information using computers. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested.

            

CRITICAL TASKS

Documentation Management

  • Perform research and determine if proper documentation has been received in order to process property transfer functions.  
  • Assess documentation provided in accordance with local real estate, title, legal regulations, and company policies.
  • Determine accuracy of all new owner information 
  • Notify customers to collect missing or incomplete information when required.
  • Research customer and/or title issues prior to modifying records. 
  • Correct or resolve outstanding matters by procuring required documents from municipalities when necessary.
  • Respond to internal and external requests for information about titles, financings, product usage, and the organization’s programs and personnel. 

General Business Services

  • Organize, secure, and maintain all files and records in accordance with document retention and confidentiality policies and procedures.
  • Record, store, and/or analyze information using property software.
  • Update records in systems with appropriate information. 
  • Generate reports from computer systems as needed.
  • Interact with external vendors as needed.

Computers/Software

  • Use computer systems and software packages to input, access, modify, store, or output information. 
  • Enter and retrieve data from computer systems using a keyboard, mouse or trackball. 
  • Prepare letters, memos, and other documents using word processing, spreadsheet, database, or presentation software.

Communication

  • Monitor and respond to inbound customer, client, and communications via email, voicemail, etc. in a timely manner. Speak to customers and co-workers using clear, appropriate and professional language.
  • Prepare and review written documents (e.g., daily logs, business letters, memoranda, reports), including proofreading and editing written information to maintain accuracy and completeness.
  • Talk with and listen to other employees to effectively exchange information.
