Work Shift
Job Summary:
Reports to the Executive Director, Supply Chain Operations. Ensures Inventory and Procurement are managed properly to support operations and leverage potential savings from bulk orders, pallet architecture and truck load deliveries. Works with Manufacturers and GPO to ensure that the contracted rebates, tracing fees, distribution fees, and payment discounts which are available based on Distribution Center business practices are included in all agreements with contracted manufacturers stocked in inventory. In addition, ensures that Inventory levels optimize investment in Inventory and support Operational requirement for fill rate and through put.
Core Responsibilities and Essential Functions:
Operational Leadership
* Provides support, recommendations and assistance to standardize products and expedite discrepancies to reduce supply dollars and interest on payments.
* Develops, implements and enforces departmental policies and procedures.
* Develops, reviews and revises department manuals and job descriptions.
* Monitors the quality, quantity, cost and efficiency of the movement and storage of goods;
* Develops and analyzes metrics to monitor and improve performance and customer service
* Allocates and manages staff resources according to changing needs
Inventory Control
* Controls inventory levels by conducting physical counts; reconciling with Warehouse Management System and / or Enterprise Resource Planning (ERP) system,
* Responsible to evaluate levels of product usage to determine adequate stock management expectations.
* Develops and directs programs to insure monthly stock relocations whereby space consideration for warehousing are efficient and functional.
* Directs inventory control management through processes of computer generated reports utilized for inventory balancing, monthly statistical, cycle counts and discrepancy processing.
* Responsible for inventory replenishment levels to maintain a stock-out percentage level of or less of total items ordered by customers.
Operational Process
* Negotiates with vendors to ensure that operational processes are in place in order to achieve maximum value from contractual agreed potential revenue
* Identifies and implements opportunities for new vendors to implement revenue programs
* Ensures that Wellstar Health System provides required data to support obligation to vendors as per contractual requirements
* Tracks and documents on an ongoing basis that fees and rebates are paid to Wellstar Health System as per the terms of the contracts and operational practices.
* Responsible for development of annual business plan for the Distribution Center and manages to the final approved financial plan
* Serves as the point person with vendors for collection of all revenues owed to WHS and assures collection of all distribution center revenue
* Creates and adheres to an audit process with respect to all revenues
* Develops and monitors key performance metrics for areas of responsibility, reporting results to Executive Director Supply Chain Operations
Personnel Development
* Completes Inventory Procurement requirements by scheduling and assigning employees; follows up on work results.
* Maintains staff by recruiting, selecting, orienting, and training employees.
* Maintains staff job results by coaching, counseling, and disciplining employees; planning, monitoring, and appraising job results.
* Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
Contractual Standards
* Ensure that at least of stocked items are covered a formal contract either GPO or Wellstar agreement.
* Coordinates with GPO and Contracting team to ensure that supply contracts for Distribution stocked items have language to support potential revenue generation from traditional distribution services i.e. Tracing Fees, Bulk Order discounts, Truck Load discounts, early payment discounts etc.
* Works with CQVA and Contracting to identify and implement non-traditional supplies for distribution program.
* Maintains a catalog of all vendors providing revenue associated with distribution center activity, including but not limited to tracing fees, prompt pay discounts, economic order discounts (e.g. trailer load, pallet quantity order), or bulk buy opportunities
* Escalates instances of vendor non-compliance with revenue collections to Executive Director, Supply Chain Operations and to Executive Director, Supply Chain Contracting.
