How will you CONTRIBUTE and GROW?

Airgas is looking for a proactive and detail-oriented Office Administrator to support our division and business unit operations. This role will be crucial in ensuring smooth communication, efficient organization of events, and effective management of office resources. The ideal candidate will thrive in a dynamic environment and be instrumental in enhancing our internal communications and operational efficiency.

General Office Duties and Responsibilities: 

  • Visitor Engagement: Greet and welcome visitors and staff in a professional and friendly manner, ensuring a positive first impression.

  • Call Management: Answer, screen, and forward incoming calls, providing basic information as needed.

  • Calendar Management: Update appointment calendars and schedule meetings/appointments using Google Calendar.

  • Preparing correspondence: Drafting emails, memos, letters, and presentations on behalf of the leadership team.

  • Prioritizing and filtering communications: Screening calls, emails, and mail for the leadership, and responding or delegating as appropriate.

  • Expense Reporting: Prepare expense reports and reconcile accounts for the leadership team. Maintain and submit expense reports for assigned Purchase Card transactions.

  • Travel Arrangements: Handle travel logistics for the leadership team, including booking flights, hotels, and transportation.

  • Event Management: Coordinate details related to special events.  Order lunches for meetings and coordinate weekly food deliveries for the office. 

  • Office Supplies Management: Oversee inventory and ordering of office and breakroom supplies to ensure a well-stocked environment. Process invoices and submit them for payment.

  • Report and Presentation Preparation: Prepare reports through various systems including PowerBI.  Create presentations as needed.  Take notes during meetings to capture key points and action items. As needed, research additional information needed for reports and presentations.

  • Organizational Chart Maintenance: Update organizational charts monthly to reflect changes within the company.

  • Maintenance Coordination: Submit work orders for building maintenance issues to ensure a well-functioning office environment.

  • Additional Duties: Be willing to take on other responsibilities or special projects as business needs require.

Marketing/Communications Duties and Responsibilities:

  • Newsletter Management: Develop and distribute quarterly newsletters for divisions and/or business units to keep staff informed and engaged.

  • Townhall Organization: Coordinate townhalls, ensuring effective communication and participation from all team members.

  • Marketing Support: Assist the Director of Marketing with logistics for trade shows, including shipping materials and managing registrations for individuals and annual memberships.

  • Social Media Management: Create engaging LinkedIn blog posts to drive traffic and enhance the company’s online presence; collaborate with business leaders and corporate communications for content approval.

  • Website Content Management: Collaborate with business units and corporate communications to update content on company websites.

  • Maintaining discretion and confidentiality in all matters related to the work.

Education and Experience:

  • High school diploma or GED

  • Prior experience with Microsoft Office and Google email and calendars

  • Proven experience as an office administrator or in a similar role

  • PowerBI proficiency is a strong plus.
