Mindful Care is looking for a dedicated Patient Access Representative to join our team. This role is crucial in managing and facilitating the referral process within our organization, ensuring that patients receive timely and appropriate services. As the first point of contact, you will communicate effectively with patients, referring parties, and internal teams to coordinate appointments and follow-ups with exceptional customer service.

Our Patient Access Representatives:

  • Manage and process incoming referrals, ensuring accurate documentation and timely communication.
  • Schedule appointments for referred clients and coordinate necessary services.
  • Monitor and track the status of referrals, providing updates to referents and patients as needed.
  • Address patient and referent inquiries, providing support throughout the referral process.
  • Collaborate with internal teams to enhance strategies and improve service delivery.
  • Re-engage with patients who do not respond to outreach efforts.
  • Proactively manage patients who miss appointments, ensuring outreach and rescheduling.
  • Assist with in-person check-in/check-out processes.
  • Facilitate in-office patient registration.
  • Support New Patient submissions and Existing Patient scheduling.
  • Review and collect payments, manage patient balances, and send payment links. Handle basic billing inquiries, escalating detailed issues to relevant departments.
  • Centralize all inbound communications (emails, calls, texts) to streamline responses or direct to appropriate teams.
  • Perform additional tasks as assigned by management.

Your Qualifications:

  • High school diploma or equivalent required; college degree preferred.
  • Experience in a call center environment; healthcare experience preferred.
  • Prior customer service experience in medical or mental health practices is preferred.
  • Excellent interpersonal skills and professional manner.
  • Strong verbal and written communication skills.
  • Ability to schedule appointments based on patient needs.
  • Well-organized and detail-oriented.
  • Ability to multi-task and prioritize work in a fast-paced environment.
  • Strong computer proficiency.
  • Demonstrates awareness, inclusivity, sensitivity, humility, and experience working with diverse populations, including various ethnic backgrounds, socioeconomic statuses, sexual orientations, and gender identities.

Schedule:

  • Monday-Friday: 8:00am-5:00pm (Training schedule)
  • 4/10 schedule: 8am-6pm to begin in January
