As a Registration Coordinator, you will be the main day-to-day client contact for badging and materials. This role performs administrative and office support activities for Event Services. Duties may include fielding conference calls, organizing meetings, monitoring project timelines, word processing, filing, and faxing. Strong software, organizational and communication skills required.

  • Leads all aspects of assigned events including creating and managing event/client timeline.

  • Assists Registration Manager in operational functions including gathering shipping/onsite information, configuration and running badge samples.

  • Completing weekly badge production tasks, including weekly reporting and collation of printed will calls and large-scale mailings.

  • Consults and advises clients regarding their badge and material needs.

  • Places orders for client supplied artwork and materials in project management tools.

  • Monitoring, managing, and retrieving inventory to assist the logistics department to ensure materials are sent onsite in a cost effective and timely manner.

  • Assists Registration Manager by creating web specifications documentation, participating in edit cycles, quality testing changes to the web pages, and capturing/filing final screen shots of all web page deliverables.

  • Completes the administrative tasks upon request for the assigned Registration Manager, including but not limited to updating Event Plans, managing client show specific policies, scheduling, archiving event folder(s), attending and documenting of milestone meetings.

  • Supports client reporting requests using XPress Reports and Excel. Prepares the final billing packets and schedules billing meetings.

  • Monitors the materials timelines and maintains detail notes in scrum software for assigned events to support Registration Managers in achieving deadlines.

  • Updates Registration Manager or Client Services Senior Manager on critical issues, and project timelines as needed.

Qualifications

  • Customer service experience essential. 

  • Must have the ability to operate independently, possess necessary judgment to recognize when to escalate issues for review, guidance and/or resolution. 

  • Strong and effective interpersonal skills and positive working relationships with staff of all levels in a variety of work settings required.

  • Computer software experience: Microsoft Word, Excel, Outlook, and various desktop applications.

  • Associate’s degree desired; equivalent related work experience required.
