Summary:
In this role, you will deliver day-to-day workplace management services in the Irving, Texas office, to include general office support services, event/meeting management, space management, property management, and workplace communications. You will enforce compliance of Workplace Services Policies and Procedures and lead a team of receptionists and workplace employees.
Responsibilities:
Establish and maintain consistent office and workplace service standards.
Oversee projects from conception to completion, ensuring projects are within budget, on schedule, with a clear line of communication to the end users.
Provide various office management functions. (e.g., Supply ordering, mail room support, event coordination, vendor coordination and invoice processing / approvals).
Lead space management for all areas of the office. Ensure that floor plans stay accurate and match up with employee Workday profiles.
Oversee office / breakroom equipment and work closely with vendors to ensure equipment is functioning and maintained per service level agreements.
Monitor the ticketing system to ensure requests are being tracked and completed in a timely manner. This includes monthly reporting on metrics.
Lead the vendor process, including access, new vendor setup, cost, and quality of work, partnering with supply chain, and legal review through the process.
Work with property management to ensure proper documentation of Certificate of Insurance (COI’s) are in place for each vendor that works onsite.
Ensure all vendor agreements are always executed and stay up to date.
Support Irving office meetings and events (large and small) working directly with the associated events team, executive admins, and Irving leaders.
Partner with security for badge access, reader repairs and requirements as needed.
Partner with the safety team and safety vendors to ensure the safety and wellbeing of all employees and guests.
Work with internal departments and employees regarding internal move management and communications.
Confidence in working directly with Executive Leaders and Clients.
Qualifications:
Relevant degree preferred.
2 or more years of relevant office management experience in a corporate environment required.
Event planning coordination for small and large onsite and offsite meetings required.
Strong Project Management skills and the ability to balance multiple priorities with diligence required.
Must be able to work onsite, Monday through Friday, from 8:00AM to 5:00PM (CST).
Knowledge of/or the ability to learn Workday, Adobe Reader, WISP space management software, and Remedy Force software application.
Must be self-directed and results oriented.
Demonstrated ability to use appropriate judgement when dealing with sensitive information.
Must be able to lift/bend/carry 50 lbs.

Estimated Hiring Range:
At Vizient, we consider skills, experience, and organizational needs in our compensation approach. Geographic factors may adjust the range estimate and hires typically fall below the top range. Compensation decisions are tailored to individual circumstances. The current salary range for this role is $68,500.00 to $109,700.00.This position is also incentive eligible.
