VML Marketing Coordinator Program is a large global community of approx. 400 employees sitting at the intersection of Microsoft Marketing and agencies teams. 

We coordinate campaigns across Microsoft internal stakeholders, VML global Service Delivery Hub teams, and third-party agencies. Campaigns generate sales leads Microsoft then scores and processes according to their sales strategy. 

Events is an expertise group within the MC Program responsible for coordinating and executing variety of Microsoft's global and local digital events. 

Purpose of the job:

In the role as Event Coordinator, you will be the point of contact when it comes to the execution of all in-person events, and you will be the subject matter expert in modern marketing tools and services in the local team. You will be responsible for bringing together different elements to execute event briefs in a joined-up approach, which addresses client objectives and business challenges. More specifically, your tasks include: 

Responsibilities: 

  1. Events Consultation & Planning 
  • Project coordination and planning events. Including dry runs for each event, identifying potential issues in advance, reporting on issues to request support, etc. 
  • Provide support on different types of events in line with Microsoft corporate guidelines 
  • Consult Microsoft stakeholders on situations that require additional reviews and approvals 

 

  1. Events Preparation 
  • Act as Project Manager with full responsibility for making event successfully happening 
  • Co-ordinate all parties involved in an event – VML and Microsoft stakeholders and third parties 
  • Manage event participants agenda 
  • Manage event assets, e. g. videos and presentations 

 

  1. Events Execution & Post-Events Activities 
  • Execution and management of in-person events from start to finish in line with guidelines and procedures. This includes getting all materials ready (e.g. decks, videos and captioning) and attending on-site events to ensure control and execution on time 
  • Act as the Subject Matter Expert on event platforms 
  • Train marketers on the utility of event platforms and educate local stakeholders on event services and tool capabilities 
  • Provide reporting to provide specific reviews and information to stakeholders, including budgeting, spending, etc.  
  • Gather insights and analyze marketing activities to find patterns, best practices and efficiencies, etc. 

 

  1. Stakeholder Management 
  • Educate internal and external stakeholders on the MC Program Events agenda and topics 
  • Act as advisor on tools used for events planning and execution 
  • Share best practices and success stories, engage in knowledge sharing and continuous improvement of our services 

Required skills & competencies (Entry Level): 

  • Ideally 2+ years’ experience in execution of any marketing-related initiatives, incl. 1+ year experience in events management, project or account management role 
  • High level of compliance with company rules & processes, e. g. personal data protection or brand guidelines 
  • Proven project management skills & experience, readiness to assume responsibility for own KPIs, track activities progress and meet critical deadlines 
  • Solid skills in Microsoft tools and software: Word, Excel, PowerPoint, Outlook, Teams 
  • Solid command skills and ability to share often complex information in structured way 
  • Comfort in dealing with client's and third-party stakeholders 
  • Ability to simultaneously manage multiple events and activities, and ability to prioritize urgent and important tasks 
  • A strong team player with ability to establish working relations with culturally diverse internal and external partners 
  • Strong in problem solving skills and orientation to detail 
  • Fluent English is essential as well as native speaker of local language 

 

 

 

 Advanced Level 

Marketing Execution & Account Management 

4+ years’ experience in marketing activities execution, incl. 2+ years in client-facing role with assigned account management responsibilities 

Project Management 

Experience in managing projects and campaigns of growing complexity 

Stakeholder Management 

Experience in cooperation with variety of stakeholders on client and agency side; Exposure to senior client stakeholders
