Job Summary

The receptionist responsible for the delivery of amazing client and guest experiences by ensuring that all customers and visitors are assisted in a welcoming, professional, and friendly manner.  This client-facing role provides the opportunity to combine your passion for service, brilliant people skills, and enthusiasm for creating a hospitality-focused workplace environment.

 

Job Responsibilities

 

·                Manage the Front Office operations on Monday to Friday from 8:30 am to 6:00 pm

·                Manage Concierge Services

·                Client area upkeep

·                Lead & Manage all F&B requests in Client Area

·                Coordinate with Hotels & catering vendors for client events in office.

·                Inventory of Pantry supplies

·                Inventory of stationery

·                Complete ownership of the Visitor Management

·                Handle Business Card Requests

·                Handle messenger and courier requests

·                Meeting Rooms Managements

·                Organize and coordinate meals for office meetings, every Tuesday/Thursday afternoon snacks                           +Friday lunches and other office events such as HODs, EBM, Merit Making Ceremony or any                   Other Fun Engagements

·                Book/coordinate for ground transfers for fly-ins

·                Coordinate office driver’s schedule

·                Coordinate with IT and manage digital display in the work cafe area

·                Coordinate with building management if required extra air conditioning services

·                Courier Support: Schedule couriers (DHL) when the team requests and act as the point of contact for incoming couriers from other offices

·                Coordination with building management on building-related issues: Handle parking, announcements from building management, and register new staff/resign staff for building access

·                Lead all Gift Distribution activities

·                Manager all Access issuance process for vendors to access/exit the building

·                Receive parcels and mail at the building

·                Receive deliveries—Lotus only deliver to ground floor and we need to pick up, but Tops can deliver directly to the 49th floor

·                Packing for DHL shipment

·                Printing and binding

 

 

 

 

Qualifications

·       Minimum 1- 2 years of previous customer service, security, or hospitality-related experience.

·       People Person: The best part of serving others is creating experiences for them that go beyond the expected.

·       Flexibility and positive attitude in managing shifting daily priorities.

·       Excellent Communicator: Providing amazing experiences requires the ability to communicate professionally through the spoken and written word.  Fluency in English required.

·       Knows how to multi-task and prioritize while ensuring consistent and elevated guest experiences and accuracy.

·       Working knowledge of a range of information technology tools and platforms.

·       Working knowledge of Microsoft Office suite (Teams, Excel, PowerPoint, Word, and Outlook).

·       Ability to perform minimal physical activity such as carrying small packages.
