SUMMARY

The Event Technology Representative reports to the Director of Production Services. The Event Technology Representative develops and coordinates all logistics for the services offered by the department including AV, digital signage, internet and telecom.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Tasks include attending pre-planning meetings, site-visits, pre and post conference meetings and conference calls for assigned events.

  • Respond to client RFPs for related services received from both Show Management and Contractors for assigned events.

  • Attend weekly building wide production meetings to review past events as well as review upcoming events and conventions.

  • Serve as primary point of contact for department services throughout the planning process and onsite execution.

  • Effectively communicate status of project findings to internal and external teams in a timely manner that may impact the event.

  • Negotiate with vendors by building strategic partnerships.

  • Secure any rental quotes from third party partners in a timely manner

  • Ensure expenses remain within budget limits and revenue goals are met.

  • Hold internal team meetings with technical teams.

  • Actively participate in client and contractor conference calls.

  • Processes advanced and/or on-site orders for all services.

  • Maintains all assigned event files.

  • Prepare work orders with floor plans, as necessary, and distributes to technical teams

  • Proactively contacts clients for pre-event information relating to service orders, labor orders floor plans and/or payment.

  • Reconciles all event work orders and contractor’s orders.

  • Work with Finance and Department manager to resolve any billing discrepancies and disputes with assigned events

  • Other responsibilities as assigned by Director of Production Services

EDUCATION AND EXPERIENCE

High School Diploma, College degree a plus.

Previous experience in the events industry.

Audio Visual Sales background is a plus.

Project management experience is a plus.

KNOWLEDGE, SKILLS AND ABILITIES

  • Excellent communication and interpersonal skills and organizational ability

  • Strong orientation towards customer service for the meeting, convention and entertainment industry

  • Ability to work flexible hours, including nights, weekends, and holidays in addition to normal business hour as needed

COMPUTER KNOWLEDGE

To perform this job successfully, an individual should have working knowledge of event booking and scheduling software, spreadsheet software and word processing software and be proficient in Microsoft Word, Excel, and PowerPoint.
