As an Operations Manager, you will be responsible for the company's fleet, safety, and cold equipment programs to meet the company’s standards and its business goals. Fleet responsibility will include any vehicle lease or owned across joint companies. Responsibility for all fleet maintenance, tracking, insurance programs, driver qualifications and a culture of safe operations. Leading company’s safety programs will require maintaining all OSHA requirements along with company communications and regular qualifications for all facilities. Cold Equipment responsibilities include planning, purchase, allocations, and ongoing maintenance programs for all cold equipment purchased on the company's behalf. This role will plan, direct, and performance report for all activities across the company's fleet, safety, and cold equipment.

How you’ll help:

Fleet

  • Work cross departmentally with administration, purchasing, operations, accounting, sales and marketing departments within GSRP and YMCO.
  • Assist in the procurement of new fleet vehicles, working with 3PL leasing providers, completion of all registration procedures for newly acquired vehicles, maintaining valid registrations on current vehicles. Oversee fleet purchases to ensure costs are in line with industry averages, and to monitor excessive.
  • Collaborate with graphics department, leasing company, and vehicle wrap company to procure wraps (new and re-wraps) on all fleet vehicles.
  • Maintain functionality of Fleet database. Point of contact for 3rd party Fleet resource systems (currently Network-Fleet) and manage platforms including GPS, ePlan (MVRs, driver record keeping), eDriving, Element (Fuel/Maintenance).
  • Support distribution and marketing teams to identify and address fraudulent issues with fueling, maintenance, etc. Including monitoring compliance of the distribution of recall notices to managers or drivers as needed.
  • Develop and implement Fleet Safety Program, in partnership with insurance company.
  • Lead and monitor compliance of all fleet regulatory compliance (DOT, CHP, FDA).
  • Manage accident claims with the insurance broker/carrier, review annual Fleet counts with insurance broker/carrier, and ensures escalation of auto claims with insurance administrator.
  • Oversees moving, parking, and toll violation processes for GSRP and The Yerba Mate Co.
  • Review and approve payments of fleet related expenses, including, but not limited to: fleet leasing invoices, fleet repairs/maintenance, parking/toll/moving violations, fuel charges (including EV billings), expense reports related to GSRP fleet costs, etc.
  • Annual contract review with vehicle rental provider (currently Enterprise/National) and oversee and report on usage.
  • Oversee the final disposition of vehicles at the end of their lease term or purchase contract, whether it be returning them to the lessor, changing title documents to ownership, or sale to another party.
  • Examine fleet efficiencies to find ways to improve and produce better methods and practices for the company.
  • Maintain professional external relationship with key customers, government agencies, suppliers and partners, car manufacturers, contractors, insurance companies, etc.

Safety

  • Proactively establish and maintain effective working team relationships with all departments, including People, Finance, Operations, Sales and Marketing.
  • Develop reports and Key Performance Indicators (KPIs).
  • Responsible for the management of all Safety programs, policies and procedures in facilities and fleet.
  • Compliance to all safety rules and regulations, and all company’s policies and procedures.

Cold Equipment

  • Directs the proper selection, purchase, and utilization of company assets to support the operations. Ensure partnership with other departments to implement equipment upgrades, replacement, and maintenance.
  • Plan, procure, allocate and work with maintenance partners to ensure effective ROI and maximum life for all cold equipment.
  • Develop / implement department metrics to adjust Cold Equipment operational performance and standards.
  • Identify and communicate best practices to Guayaki’s Leadership Team.

Here’s what you’ll provide:

  • 3 to 5 years of practical experience supporting Operation departments
  • Ability to deal effectively with a diversity of individuals
  • Ability to maintain confidentiality, a must
  • Ability to work on multiple platforms
  • Basic math skills required
  • Bilingual (English & Spanish) is preferred
  • College degree or equivalent experience
  • Commitment to excellence and high standards
  • Continuous improvement mindset & prior utilization of lean manufacturing tools a plus
  • Demonstrated ability to plan and organize projects
  • Familiarity and experience using Outlook, Word, and Excel preferred
  • Must be able to speak, read, write, and understand the primary language(s) used in the workplace
  • Strong organizational and time-management skills
  • Strong verbal and written communication skills with the ability to communicate with all levels of the organization
  • Systems acumen (Encompass, VIP, SAP, Minitab, Excel, Access, etc.).
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm

Travel & Physical Requirements:

  • Travel is an integral part of this role and is expected to account for approximately 30% of the work-related activities.
  • Employee is regularly required to use hands to handle, or feel; reach with hands and arms; and talk or hear.
  • Employee frequently is required to walk and sit.
  • Employee is occasionally required to stand and stoop, kneel, crouch, or crawl.
  • Employee must regularly lift and/or move up to 25 pounds as needed.
  • Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.
  • Exposed to moving mechanical parts and outside weather conditions.
  • Noise level in the work environment is usually moderate.
  • Various vehicle and equipment operations.

The pay range for this role is an estimate based on a wide range of compensation factors; actual pay offered may vary based on (but not limited to) work experience, education and/or training, critical skills, and/or business considerations. Sales commissions and/or variable pay plans are also offered depending on the position (ex: monthly, quarterly, annual bonuses).
