This position will provide administrative support to multiple leaders as well as analysis, reporting, and tracking of various events and activities. The Executive Assistant’s main responsibility is to make the colleagues they support as productive as possible. The ideal candidate will be able to demonstrate, under minimal supervision, the ability to perform clerical, administrative, and general office duties requiring advanced skills and significant experience.
This person must be a highly polished professional with excellent interpersonal skills and a sense of urgency to get things done. The individual will act with speed, composure, compassion and knowledge to solve problems. This role will interact with all levels of employees and all departments in various situations and must be courteous and respectful to all.
Specific Responsibilities:
· Orchestrate domestic and international business travel through Concur and AIG’s corporate travel resources.
· Coordinate travel approvals across the organization to ensure all trips are within policy and approved in a timely manner.
· Process and submit timely and accurate expense reports in Concur.
· Perform calendar management tasks for the senior leaders they support.
· Manage confidential, time-sensitive internal and external communications.
· Create and maintain distribution lists for announcements and distributions.
· Coordinate client and broker entertainment requests (e.g., completing request and post event forms with AIG’s Madison Square Garden team to ensure tickets are secured and menus are selected).
· Coordinate sponsorship requests with team leadership and Finance to ensure they are within budget and processed in a timely manner.
· Process external speaking request forms.
· Manage event catering, ordering office supplies, site items, etc. for the teams they support.
· Assist senior leaders and team with presentations (e.g., PowerPoint, Excel) as needed.
Job Requirements:
· Proven track record as a successful executive administrative professional with experience in preparing presentations/communications/materials for Board-level meetings, arranging travel, processing expense reports, and calendar scheduling for a senior-level business leader.
· A self-starter with excellent customer service skills who can discretely handle confidential information.
· Ability to work under pressure, adapt to unexpected events, prioritize and multi-task in a deadline driven environment.
· Expert-level proficiency in PowerPoint with the ability to create presentations, create and update slides, import spreadsheets, pie charts, images, etc. for executive meetings.
· Expert-level proficiency with the ability to create and work with Excel spreadsheets (e.g., create basic formulas, input data, etc.).
· Ability to prioritize while working both independently and collaboratively.
· Excellent judgment, independent thinker and resourceful.
