Workplace Ambassador (WA)

The Workplace Ambassador is generally the first point of contact for visitors, users, and vendor personnel. That ever-present welcoming smile and greetings is the start of the great Workplace Experience for visitors and regulars alike. This role needs to portray Professionalism and Demeanor: Maintaining a consistent professional, friendly appearance, and workspace environment.

 

This role will undertake and be proficient in administrative duties that will include but not be limited to:

 

WA Duties

  • Answering and screening Incoming calls.
  • Ensuring reception desk is always covered.
  • Mail/ parcel incoming/ outgoing deliveries, internal distribution, and communications to users. Creation of new hire mail slot and retrieve resigned employees mail slot.
  • Meeting room/ Flex Office bookings and visitors’ registration.
  • Reception, escorting visitors to meeting rooms and visitor management.
  • Badge management.
  • General enquiries.
  • Portable/ Mobile AV devices management.
  • Cheques received to be recorded.
  • Arrange monthly courier for deposited cheques and invoices.
  • Day to day operations in handling requests and resolving issues.
  • Daily check for any facilities defects (Reception & Lobby Area) and ensure all equipment is in good working condition. All stationeries topped up and available for the reception area and external meeting rooms. Ensure these checks are well recorded and documented.
  • Service requests received are promptly picked up, communicated and attended to (Priority).
  • Be on top of all the meeting rooms requests and set up according to the users’ instructions. AV and audio equipment are set-up, tested and in working condition before user starts.
  • Asset retirement process is properly executed and updated in the system.
  • Communications for the PTW and required documents. Vendor work permits including safe work method statements, Risk assessment and service validation submitted to building for approval.
  • Updating of Action Tracker and entering the system (Corrigo).
  • Coordinate with Security team on issues with doors and access.
  • Attending to other ad-hoc request/ feedback and supporting any on site projects.

 

 

An important aspect of your role is to understand the status of the offices and facilities, for which you will often be checking to ensure the cleanliness and condition are maintained to upkeep the image of the client’s office.

 

You will be responsible for creating and managing Service Request tickets through the platform.

 

You will be working with vendors for permit to work with the building and ensure all the safety process and documents are in place. You will be sure to check all incoming deliveries for accuracy and to document the receipt of such goods.

 

Part of your job scope is to hit key performance indicators and meet service levels required. This is on top of Meeting the clients’ facility's needs, making everyone safe and risk-free, be a Team Player & Be Client Focused.
