Purpose
The ‘Tier 1’ team of HRPS supports a range of HR Managers, employees and Partners from the UK, UAE, Brussels and Warsaw. This role will sit within the ‘Tier 1’ team, supporting primarily the UK, but also Warsaw HR.
The purpose of the role is to deliver high quality HR administrative support to the Firm - act as first point of contact for queries, many which relate to HR process or policy, and escalate more complex questions as appropriate.
Key responsibilities and challenges
HR Query Resolution & Support
To receive and resolve general or ad hoc queries via emails and phone calls in a timely manner from Employees, Managers and Partners in relation to HR policy and process.
Log requests in the HR case management system (Neocase) and either answer or escalate according to the nature of the query.
To assist on ad hoc HR projects where support is required.
Employee Lifecycle
New Joiners & Leavers - coordinate the process of Vero screening of Linklaters candidates, process new joiners, leavers and work experience to include the updating of HR systems and notification to internal departments.
Employee Benefits - administration of external platform and replying to any queries from employees.
Client Secondments – administration of current employee returning from secondment to a client, to include liaising with sponsoring partner to obtain feedback from the client, updating any systems and notifying internal departments and third parties.
HR Record Updates – update employee Workday records, e.g. secretarial relationships, absence approvers, fire warden, etc.
Additional Leave – administration of additional leave requests to include production of paperwork, updating of HR systems and notification of internal departments.
Reference Requests – production of employment references for current and previous employees.

What we are looking for
Experience of working within HR area; preferably admin role (up to 1-2 years)
Fluent in English; Polish at min. B2 level
Good knowledge of MS Office applications
Able to create and maintain strong relationships over distance
Confident verbal communicator, with strong written language skills
Proactive with strong prioritisation skills
Meticulous attention to detail
Comfortable working in a constantly evolving team which changes and adapts to business need
Proactive and positive approach to process improvement
Location
Warsaw – hybrid model with 2 days per week at the office
Working hours
Shifts: 9:00 – 17:15, 10:00 – 18:15, 11:00 – 19:15
