Job Summary:

To provide specialized administrative support for a department or division head or above. To work collaboratively with other members of the department to proactively address both patient and organizational needs. To supervise other departmental clerical staff.

Education & Experience

Bachelor's degree plus three (3) years of directly related experience, or equivalent combination of education and experience.

Knowledge, Skills & Abilities

Knowledge of specific department policies and procedures. Skill in the use of personal computers and related software applications. Verbal and written communication skills. Interpersonal skills to effectively interact with team members and department heads. Ability to make independent decisions. Ability to train, motivate, and supervise employees.

Ability to type 35 words per minute or to meet specific departmental higher typing requirements. Ability to multi-task.

Responsibilities

  • Independently oversees response to specialized and confidential correspondence, work, and information.
  • Compiles and analyzes various types of moderately complex information for inclusion in reports and/or presentations (using graphical software, spreadsheets, etc.)
  • Answers telephones and resolves complex caller needs (within broadly-defined guidelines) without managerial oversight.
  • Supervises tasks of other departmental clerical staff.
  • Works closely with departmental management on special projects and, generally, takes a lead role.
  • Organizes and balances multiple and competing priorities on a constantly changing set of calendars. Schedules meetings as directed, to include room reservation, material preparation, and food service if needed.

Physical and Environmental Demands

Requires occasional exposure to unpleasant or disagreeable physical environment such as high noise level and exposure to heat and cold, occasional handling or working with potentially dangerous equipment, exposure to biohazardous conditions such as risk of radiation exposure, blood borne pathogens, fumes or airborne particles, and/or toxic or caustic chemicals which mandate attention to safety considerations, occasional working hours significantly beyond regularly scheduled hours, occasional activities subject to significant volume changes of a seasonal/clinical nature, constant work produced subject to precise measures of quantity and quality, frequent bending, occasional lifting and carrying up to 75 pounds, frequent crouching/stooping, occasional driving, occasional kneeling, occasional pushing/pulling, frequent reaching, frequent sitting, frequent standing, and frequent walking.
