What you’ll be doing

The Intake Senior Specialist, Conference Centre is a key member of the Conference Centre team, responsible for the overall intake process, calendar management, space conflict resolution, and coordinating logistics with key partners and contacts. This role also leads Conference Centre’s data management, reporting, and analysis to ensure operational excellence and to enable informed business decisions.

NOTE: This is a 14-15 month temporary opportunity.

How you’ll succeed

  • Event Request Intake Management - Manage the intake process for all booking requests, collaborating with the vendor partner to ensure seamless intake and scheduling.  Ensure all intake forms are reviewed and processed promptly, confirming availability and requirements as required.  Facilitate communication as required for booking confirmations, changes, and resolutions to all stakeholders.  Provide actionable insights to enhance the intake process.
  • Calendar Management - Maintain and update the Conference Centre’s master calendar, ensuring accurate scheduling and avoidance of conflicts.  Proactively identify potential booking conflicts during the intake process.  Lead the assessment of space conflicts with urgency, priority, and business impact of each conflicting request.  Engage with requestors to clarify requirements, flexibility, and alternative options.  Escalate unresolved conflicts to the Conference Centre Senior Manager.
  • Booking Data Management, Reporting & Analysis - Ensure accurate entry and maintenance of booking data in the event management system (EMS).  Track key metrics related to bookings, cancellations, space utilization, and intake requests.  Generate regular and ad hoc reports, providing data-driven insights to optimize space and resource usage.
  • Conference Centre Mailbox Coverage - Monitor the mailbox and respond to inquiries in a timely, professional manner, adhering to established response protocols.  Maintain accurate records of email correspondence and actions taken.  Provide courteous and informative responses and address routine questions regarding conference services, bookings, and policies.

  • Excellent organization and administrative skills, which includes being very capable with Microsoft Teams, Word, PowerPoint, Excel, Outlook
  • Highly self-motivated - Operate independently with minimal direction.
  • Strong communicator with effective interpersonal skills.  Interact with a wide range of individuals at different levels in a wide range of situations.
  • You demonstrate quick judgment and prompt action. Respond effectively to urgent situations and time-sensitive matters.
  • Good business and analytical knowledge - You can apply analytical thinking to an understanding of CIBC, organizational structure and business partner relationships.
  • Undergraduate certificate or degree and/or 5+ years relevant work experience.
  • Ability to influence through relationships and networks.
  • Proficient ability to collaborate and are able to work directly with all levels of management.
