Overall Roles

Helpdesk Coordinator is responsible for processing and responding the facility related requests and inquiries from users at the helpdesk counter and supporting mailroom services.

Duties & Responsibilities

  • Confidential document disposal management
  • Office HVAC adjustment
  • Cabinet & personal locker management and room key management
  • Division’s intranet update support
  • Meeting rooms & work lounge booking support
  • AV equipment management for meeting room (cable / monitor / projector)
  • Company event support
  • Security system management
  • Security card (badge) operations
  • Facility intranet operation support
  • Account management (ASKUL / business card ordering system / external archive warehouse)
  • HSE support
  • Vendor management (Indoor plant maintenance / pantry services)
  • Mailroom operation support
    • Collection and delivery of mail and courier items
    • Name list updates for mail sorting boxes
    • Create and submit cost center list
       

  • Support for creating reports submitted to client
    • Security Management
    • Transportation evidence
    • Postal Instrument Department Report
    • Monthly Report
    • Attendance rate
    • Others depend on request from client.

  • Answer incoming calls at the helpdesk counter
  • Fulfil ad-hoc tasks assigned by Lead Facility Manager

Experience

  • Prior experience of helpdesk is an advantage

Task Skills

  • Proficiency with Microsoft Word, Excel and PowerPoint

Personal Skills

  • Ability to process the requests and deliver high quality of work with accuracy
  • Good verbal and written communication skill is required
  • Proactive individual and team player
  • Business level of English and Japanese
  • Seating management & seating chart update
  • Boardroom cleaning
  • Acrylic partition cleaning and management
  • Provide daily support associated with coffee service
  • Milk/water replenishment
  • Answer inbound calls of switchboards.
  • Fulfil ad-hoc tasks assigned by Lead Facility Manager.

Experience

  • Prior experience of mailroom service is an advantage.

Task Skills

  • Proficiency with Microsoft Word, Excel, and PowerPoint.

Personal Skills

  • Ability to meet tight schedules and deliver high quality of work.
  • Good verbal and written communication skill is required.
  • Proactive individual.
