Performs a wide variety of clerical, administrative, and receptionist duties. Provides assistance to other departmental staff, volunteers, and visitors.
This position supports the General Counsel’s office of Father Flanagan’s Boys’ Home. This is a full-time position. This person will be primarily the legal administrative assistant to staff attorneys.
MAJOR RESPONSIBILITIES & DUTIES:
Provides administrative support.
Perform a wide variety of clerical, technical, and administrative office support duties, including manage calendars and schedule meetings and calls, make travel arrangements, and expense management.
Provides administrative support including drafting, review, negotiation, and finalization of a variety of legal documents and correspondence for various legal functions including immigration, trademark and intellectual property and gift and estate planning.
Reviews, analyzes, prepares responses, and monitors the progress of, and maintains corporate and project documents for, major cases and proceedings involving company or entities, subpoenas, legal holds, decisions, exhibits, transcripts, and briefs; informs counsel of pertinent legal decisions and developments.
Researches and responds to requests from internal clients as well as outside counsel and other agencies.
Assists attorneys in the preparation of arguments, testimony, affidavits, and declarations and drafts of legal documents and briefs.
Conducts legal and factual research on assigned issues and reviews and analyzes existing proposed laws, rules, regulations, and programs promulgated by state and federal courts and agencies.
Coordinate and keep track of signature pages and fully executed agreements.
Organize legal documents and maintain files and status trackers, as needed.
Maintain corporate minute books and assist in preparing for board and leadership meetings.
Manage, organize, and maintain documents in paper or electronic filing systems.
Upload legal documents into document management systems.
KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of legal and court procedure, terminology, and methods of legal research. Knowledge of regulatory requirements pertaining to youth care.
High level of professionalism and interpersonal skills. Excellent critical thinking, analytical, and problem-solving skills.
Ability to communicate with individuals at all levels in the organization and with external business contacts in an articulate, professional manner while maintaining necessary degree of confidentiality, and to build and sustain successful, professional relationships.
Ability to conduct investigative research and assess and organize documents based on relevant legal issues.
Ability to work independently in a collaborative environment, meet deadlines, and multi-task while maintaining quality standards.
REQUIRED QUALIFICATIONS:
3-5 years of experience as an administrative assistant (preferably in a law firm or in a corporate legal department), legal assistant, or legal secretary
PREFERRED QUALIFICATIONS:
High school diploma is required.
Impeccable ethics and ability to maintain confidences.
Dedicated to planning ahead, yet able to manage unexpected, last minute and urgent changes.
Natural affinity for details, meticulous follow-through, detail-oriented and highly organized.
Strong attention to detail and excellent organizational skills.
Exceptional verbal and written communication skills, bilingual a plus, and professional demeanor.
Advanced proficiency in Microsoft Office, including Outlook, Word, PowerPoint, Excel, and Adobe applications.
Ability to work independently, manage large workload, prioritize, and complete multiple tasks and keep deadlines.
