How you will create an impact

The Senior Administrative Assistant’s role will involve managing day-to-day office operations, coordinating administrative tasks, and ensuring the office runs smoothly. Exceptional organizational and communication abilities, along with a dedication to fostering a positive and efficient work environment is required. 

What you need to know:

  • Oversee the day-to-day functioning of the office, ensuring that all administrative processes run smoothly.
  • Provide support to business teams and management, including handling correspondence, preparing documents and reports, and scheduling meetings, and organizing transportation and travel arrangements.
  • Maintain internal data bases pertaining to onsite parking and fitness centre.
  • Support Compliance to ensure the proper retention, protection, and disposal of records.
  • Support HR with miscellaneous tasks such as onboarding of new employees, retiree communications and Coordinate employee anniversary gifts.
  • Organize requested services with third party vendors.
  • Procure office, kitchen and safety supplies to ensure resources are available when needed.
  • Perform all mailroom related duties, including the distribution of internal mail, newspaper/ magazine delivery, collection and delivery of external mail to Post Office, managing all courier services (i.e. FedEx, OHL, etc.), and hand deliveries.
  • Establish and conduct regular reviews of office policies and procedures to maintain order and efficiency.
  • Process expenses in Concur as assigned.
  • Process invoices and payments relating to all Admin services activities in a timely manner.
  • Prepare boardrooms and other meeting rooms for meetings and events, including provision of refreshments; liaise with IT to ensure A/V requirements are provided as needed.
  • Provide back-up for other members of the Corporate Administrative team, as needed.
  • Provide additional administrative support on demand as required.
  • Perform any other duties as assigned.

What you’ll need to succeed

  • High School diploma or equivalent with a minimum of 2 years office administration experience required.
  • Experience in provision of superior customer service.
  • Experience in interacting with senior levels of management.
  • Ability to recognize need for discretion/confidentiality.
  • Good organizational and diary management skills
  • High proficiency with Microsoft Office (Outlook/Word/Excel)
  • Experience with online ordering.
  • Meticulous attention to detail and accuracy.
  • Experience with reconciliation of deliveries to Invoices.
  • Valid Bermuda Driver's License.
  • Strong interpersonal and communication skills (both written and verbal)
  • Ability to organize and prioritize demanding workload.
  • Self-starter who demonstrates initiative and team player who takes exceptional pride in their work.
  • Ability to work reasonable additional hours as required.
