About the role:
The Supply Chain Assistant supports the efficient operation of supply chain processes by managing inventory, processing orders, and coordinating logistics for medical and office supplies and equipment. This role ensures the availability of critical items through accurate stock monitoring, timely order fulfillment, and effective coordination with vendors and suppliers. The assistant helps maintain compliance with healthcare regulations and quality standards while ensuring accurate data entry, documentation, and record-keeping. Working closely with internal departments and external partners, the role contributes to the safe, timely, and efficient procurement, storage, and distribution of medical supplies.
Your contributions are:
A. Inventory Management
Assist in managing and maintaining medical and office supply inventory levels, ensuring stock availability for critical equipment and supplies.
Conduct regular stock counts and update the inventory management system (SAP) to reflect accurate stock levels.
B. Order Processing and Fulfillment
Process incoming orders for medical supplies from healthcare departments, ensuring timely and accurate fulfillment.
Coordinate with suppliers and vendors to ensure timely delivery of required medical supplies and equipment.
C. Vendor and Supplier Coordination
Assist the procurement team in the evaluation and selection of suppliers based on product quality, delivery performance, and cost-effectiveness.
D. Compliance and Quality Assurance
Ensure that all medical and office supplies and equipment adhere to regulatory standards and quality control processes.
Assist in the documentation and verification of supply chain compliance with healthcare industry regulations.
E. Data Entry and Record Maintenance
Accurately maintain supply chain data, including order details, shipment tracking, and stock levels, in the supply chain management system.
Ensure proper documentation of all procurement activities for auditing and reporting purposes.
F. Logistics and Distribution Coordination
Collaborate with logistics teams to ensure efficient distribution of medical supplies across healthcare facilities.
Track shipments and ensure proper storage and distribution practices are followed to maintain the integrity of medical supplies.
Qualifications
Proven experience in inventory management, procurement, or supply chain operations, preferably in a healthcare or medical setting.
Knowledge of medical supplies, equipment, and healthcare supply chain processes is an advantage.
Proficiency in inventory management systems (SAP) and Microsoft Office applications (Excel, Word, etc.).
Strong attention to detail and accuracy in data entry, record-keeping, and documentation.
Good organizational and time management skills with the ability to handle multiple tasks and meet deadlines.
Effective communication and interpersonal skills for coordinating with internal teams, suppliers, and vendors.
Basic understanding of regulatory standards and compliance requirements in healthcare is preferred.
Ability to analyze inventory data and identify discrepancies or improvement opportunities.
Team player with the ability to work independently in a fast-paced environment.
