We are looking for a new Benefit Specialist with fluent Polish language skills. The Benefits Specialist is responsible for the employee benefits delivery in assigned countries in EMEA (Poland, Baltics, Greece, Israel). This role is in a direct touch with the J&J internal and external business partners, ensuring the employee benefits package remains competitive and is appropriately delivered for the best talent working for Johnson&Johnson.
Your key responsibilities will be within Benefits Administration, Vendor and Project Management
Benefits Administration
Ensure seamless delivery of employee benefits and pension through an end-to-end ownership of benefit administration processes
Provide support with benefit, pension and leave policies interpretation
Serve as a country benefits SME and provide information and insights for TR surveys, analyses, program design, etc. purposes as per business needs
Drive the implementation of new benefit/changes to existing benefit or pension plans or processes in collaboration with cross-functional teams, including management of employee communications strategy
Develop and maintain comprehensive documentation for benefits or pension policies and procedures, providing training and support to other HR teams and employees as needed
Contribute positively to a knowledge sharing environment by documenting and sharing of all relevant working experiences with issues resolution creating a knowledge database for future reference
Identify opportunities, provide insights and recommendations for continuous improvement of the benefits and pension programs and administration processes
Respond to complex employee inquiries/cases related to benefits, pension or leaves, providing exceptional customer service, support and solutions to enhance employee engagement and understanding of their benefits options
Vendor Management
On a country level, own and actively manage relationships with Aon as a J&J strategic provider of overall outsourced benefits administration services and FYB portal, including but not limited to regular meetings, SLA reviews, escalation cases resolution, high level of FYB employees support that corresponds to the J&J high standards and complies with the company Credo
Ensure benefit or pension vendors and brokers provide employee benefits, pension, brokerage and benefit administration services according to agreed and contracted scope of services and communication & employee support channels
Ownership and execution of benefit and pension vendor contracts, payments and invoicing
Ensure vendors’ adherence to agreed performance metrics
Provide objective feedback and recommendation on areas for improvement related to vendor service delivery

Project manage benefit administration process improvements – automation/optimization/ outsourcing, aiming at better efficiency, higher effectiveness and improved employee experience
Actively participate as a benefits SME in functional or cross-functional projects
Be a team player, coach more junior colleagues, providing guidance on policy/process implementation, vendor management, complex employee cases, Aon/FYB management, etc. and sharing best practices

Case Management
Manage resolution of cases following the established Internal Operating Procedure (IOP)
Resolve cases with focus on integrity, completeness, timeliness, and accuracy of data/information to ensure high level of customer satisfaction and deliver on agreed metrics (i.e. Average Lead Time, SLA adherence, PRR, NPS)
Assist and encourage users/customers to make effective use of self-service options, systems, products, service, etc. to drive rapid resolution of cases and to empower customers; educate and inform customers of the full range of HR services available to them
Ensure policy and legal compliance
Identify case challenges and opportunities and recommend solutions
Handle complex and/or functional inquiries/request
Required Skills:
Experience in benefits delivery or a related HR function with a strong understanding of employee benefit programs including but not limited to risk, health, wellness, retirement, and voluntary benefits
Very good communication and negotiation skills, able to interact with people at all levels
Experience in leading projects, process redesign and new implementations
Experience in working with benefit brokers, 3rd party vendors and benefit/pension administration activities
Proficient with using datasets, MS Office and the use of analytics for insights and decision making
Able to work independently on projects and take responsibility for own delivery
Languages skills: English (fluent oral and written), Polish (fluent oral and written) is a strong advantage
Preferred Skills:
Language skills: Polish; at least one more local language (Dutch, French, German, Spanish, Italian) is advantage
Self-driven professional with a positive team and employee-oriented attitude, able to quickly grasp benefits issues and propose and present solutions
Basic understanding of HR Functional domains (Benefits, Compensation, HRIS, Workforce Data Administration, HR Business Partnering, Employee Relations), Payroll, Employee Health & Safety
Experience with case & knowledge management tools (SFDC, ServiceNow)
Experience with Workday, FYB or any other (flexible) benefits administration platform
