The Supervisor is responsible for overseeing daily office administration operations to ensure smooth and efficient business support services. This role supervises administrative functions, coordinates office facilities and vendor management, supports workplace policies and procedures, and ensures effective communication and operational support across departments.
Supervise and coordinate daily administrative operations and office support functions.
Manage office facilities, maintenance, repairs, cleanliness, and workplace safety arrangements.
Monitor office supplies inventory and coordinate procurement activities.
Liaise with external vendors, service providers, landlords, and contractors to ensure service quality and cost efficiency.
Support company events, meetings, travel arrangements, and employee activities.
Maintain proper filing systems, records management, and administrative documentation.
Review and improve administrative workflows, policies, and procedures to enhance operational efficiency.
Support budget control and monitor administration-related expenses.
Supervise and provide guidance to receptionist and office assistants where applicable.
Ensure compliance with company policies and local regulatory requirements.
Coordinate office renovation, relocation, or workspace planning projects when required.
Assist in handling insurance, office licenses, and service contract renewals.
Support HR and management on ad hoc administration projects and assignments.
Diploma or above in Business Administration, Management, or related disciplines.
Minimum 5 years of administration experience, with supervisory experience preferred.
Strong organizational, communication, and interpersonal skills.
Mature, proactive, detail-minded, and able to work independently.
Good vendor management and problem-solving skills.
Proficient in Microsoft Office applications.
Good command of English and Chinese.
