Job Summary: 

This position is responsible for program management and administrative facets of signature CLAS Center for Experiential Learning (CCEL) efforts including the CLAS Voyage. This position will work closely with CLAS Center for Experiential Learning staff, the CLAS Associate Dean for the Voyage, and other GVSU partners. Some travel and occasional evening and weekend work may be required.

Essential Functions:

  • Responsible for the coordination/completion and the quality of the clerical work for CCEL and the Voyage which includes answering telephones, providing information, or routing calls to appropriate person; open and route incoming mail (physical and electronic) and prepare outgoing mail, including bulk mailings; handling the CCEL email account.
  • Provide administrative support and project management for CCEL and the CLAS Voyage including scheduling meetings, creating meeting agendas, taking minutes, maintaining and updating files and record keeping systems, and website organization and maintenance, and social media.
  • Assist in the development and implementation of the CCEL planning and budgeting processes; review budget reports and reconcile the reports with the department/office records.
  • Generate reports, correspondence, presentation materials, packets and/or handouts, spreadsheets and graphics, and other similar materials using computer systems.
  • Coordinate on-campus events and programs by reserving rooms, ordering AV equipment, ordering food, and assisting with hosting the functions.
  • Assist with the experiential learning programs including Handshake and Workday job postings, handling student payroll, and communication with students.
  • Respond to student inquiries as needed and make appropriate referrals.
  • Responsible for ordering office supplies; process various university forms.
  • Attend training and professional development sessions to stay current on best practices.
  • Perform other duties as required/assigned by leadership.

Required Qualifications

  • High school graduate or equivalent.
  • Minimum of four years of relevant work experience.
  • Demonstrated administrative and organizational skills.
  • Experience with various computer software applications such as Microsoft Office and/or equivalent.
  • Data entry experience.
  • Typing and spelling competency with grammar and proofreading skills.
  • Possess strong verbal and written communication skills.
  • Demonstrated experience to successfully provide quality customer service.
  • Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
  • Demonstrated experience to successfully coordinate large projects.
  • Demonstrated experience to successfully handle multiple demands efficiently.
  • Demonstrated experience to successfully organize and prioritize workload.
  • Demonstrated experience to successfully navigate challenging situations in the workplace, while using good judgment.
  • Demonstrated experience to successfully work under pressure and meet deadlines.
  • Demonstrated experience to successfully maintain satisfactory work performance and attendance records.
  • Ability to successfully maintain positive intercultural and interpersonal relationships.

Preferred Qualifications

  • Some college work.
  • Website management experience.
  • Experience with event coordination.
  • Experience with managing budgets.
  • Experience with grant monitoring and reporting.
  • Experience in settings that engage in programming for service-learning, off-campus study, undergraduate research, internships, and/or career planning.

Supervision Received

Receives minimal supervision from a designated supervisor. Much of the work is self-initiated. Person is expected to function with considerable independence and apply appropriate policies and procedures within the assigned area of responsibility.

Supervision Exercised

Hire, train, schedule and coordinate the work of student employees and may act as lead worker to PSS staff members within the department/unit/division.

Job Classification/Range: C4 Level. Minimum starting wage of $22.05 per hour.
