Job Description:

The Senior Event Producer is responsible for the end-to-end planning, production and delivery of a large-scale, multi-day showcase event, expected to attract approximately 35,000 attendees over three days. Operating across a 12-month planning cycle, the role combines senior event production leadership with structured project management and high-level executive support to the Event Owner.

Acting as the central coordination point across all stakeholders, suppliers and internal teams, the Senior Event Producer ensures the successful translation of the event vision into a fully realized, high-quality experience. The role is accountable for delivery against key objectives, including timeline, budget, operational readiness and audience experience, while proactively managing risks, dependencies and execution milestones.

A critical component of the role is to operate as a trusted extension of the Event Owner, providing decision support, managing priorities and ensuring effective use of executive time. This position is best understood as a hybrid of Senior Event Producer, Project Director and Executive support, requiring strong leadership, commercial awareness, and the ability to operate effectively at both strategic and operational levels. 

Role Overview

The Senior Event Producer is accountable for the full lifecycle delivery of the event, from concept development through to execution and post-event evaluation. The role operates as both:

  • Lead Project Manager, responsible for planning, structuring and tracking delivery
  • Primary support to the Event Owner, ensuring decisions, approvals and priorities are managed efficiently

The role ensures that the event is delivered:

  • On time
  • On budget
  • In alignment with strategic objectives
  • With an exceptional attendee experience

Key Responsibilities

1. Project Leadership & Delivery (in collaboration with the Core event team)

Lead full lifecycle delivery from concept → execution → post-event review

Develop and manage (with the Core Event team):

  • project plan
  • timelines
  • milestones
  • critical path
  • Ensure alignment with event vision and objectives
  • Track progress and proactively resolve issues

This aligns directly with project management responsibilities such as planning, stakeholder coordination, and risk management 

2. Executive Support to Event Owner

Act as extension of the Event Owner

Manage:

  • priorities
  • decision timelines
  • approvals

Prepare:

  • briefing papers
  • reports
  • key decisions

Ensure the Owner is:

  • informed
  • prepared
  • never the bottleneck

3. Event Production & Operations – Oversee and report

Oversee all production elements with the Core Event team:

  • staging, AV, lighting, technical
  • site design & build
  • bump-in / bump-out
  • Manage logistics:
  • venues
  • suppliers
  • contractors
  • infrastructure

4. Stakeholder & Partner Management

Coordinate across:

  • sponsors
  • government / authorities
  • vendors
  • internal teams
  • Build and maintain strong working relationships
  • Manage expectations and communications

This role is an important communication hub across teams and partners 

5. Budget & Commercial Oversight

Develop and manage full event budget with the Event Owner and Core team

  • Track spend vs forecast
  • Identify cost risks and savings opportunities
  • Support revenue opportunities (sponsorship, ticketing, partnerships)

6. Risk, Compliance & Safety

Ensure timely documentation, with the relevant producer or manager:

  • risk assessments
  • safety planning
  • contingency plans

Ensure timely and documented compliance with:

  • permits
  • regulations
  • insurance

Oversee crowd management, security, emergency planning

7. Programming & Experience Design

Oversee and report the event experience with the Creative, Technical and Operational teams:

  • content

  • brand
  • audience
  • strategic outcomes

8. Team & Supplier Management

Oversee and report the internal progress:

  • Internal project team leads
  • Manage external suppliers and contractors
  • Ensure clear accountability and delivery

9. Event Delivery (Show Days)

Oversee full event execution on-site

Act as:

  • escalation point
  • problem solver
  • Ensure seamless delivery across all areas
  • Communication conduit between all teams and stakeholders

10. Post-Event Reporting & Evaluation

Lead debriefs and reporting

Analyze:

  • attendance
  • engagement
  • financials
  • Capture learnings for future events

Key Skills & Experience

Essential

  • 10+ years experience in:
  • event production
  • large-scale events or festivals
  • Strong project management capability
  • Experience delivering high-volume public events
  • Proven ability to manage multiple stakeholders

Should have:
