Responsibilities:
The Executive Assistant to the Dean performs and provides secretarial, clerical, and administrative support services for the College of Nursing administrators, but primarily for the dean. Support includes, but is not limited to the preparation of correspondence, maintaining paper and electric files for personnel and departmental documents, supporting the dean with financial management, and assisting with special projects as needed. This position also includes support to the dean in the oversight of budget and expenditures for the College of Nursing (CON).
Judgment, teamwork, and initiative must be frequently exercised in supporting the college faculty, staff, students, and alumni, as well as the community. Duties are expected to be accomplished independently within well-defined procedures and some tasks may require direct supervision from the dean or members of administration. Of utmost importance is the ability to hold information in confidence, as well as the need to maintain excellent communication skills to foster working relationships with all faculty, students, university-wide community, and outside institutions.
General responsibilities include, but are not limited to:
Secure and following up with telephone calls and emails on behalf of the dean.
Schedule dean appointments and general support with the management of the dean’s schedule.
Assist the dean in the preparation of college financial reports, reviews, and general planning.
Maintain finance records, tracking invoices, and processing reimbursement requests.
Prepare correspondence, as needed, and maintain detailed and secure files.
Serve as the building steward for the college.
Serve as recording secretary for faculty meetings.
Assist other staff members, as needed.
Provide administrative support for the coordination and administration of the degree programs, i.e. initiating recurring administrative processes related to the academic calendar, assisting with correspondence/reports, assisting in the completion of reports and questionnaires by researching and gathering required information, management of software systems.
Maintain various programmatic databases and/or spreadsheets with data entry/data retrieval, with an emphasis on accuracy and error reduction.
Assist faculty, staff, and students by answering questions, providing information, and locating desired information and materials.
Maintain excellent communication and foster working relationships within the CON, the university, and outside institutions.
Assist with the organization and conduct of CON events, as directed.
Use innovation and creativity to improve workflow efficiencies and processes within the management and delivery of College programs.
Qualifications:
A bachelor’s degree and one year of administrative support experience is required. In lieu of a bachelor’s degree, an equivalent combination of education and experience will be considered.
Preferred qualifications: Experience with Workday
Knowledge/Skills/Abilities:
Proficiency with Microsoft 365 products, particularly Excel.
Communicate in a manner consistent with excellent customer support.
Maintain confidential records and information.
Type quickly and accurately and be able to proof work in order to prepare administrative correspondence and reports.
Oversee budget maintenance and invoices.
