Job Summary

Under the general direction of the Director, Events, the Event Manager is responsible for providing professional client services support in planning, managing, and executing events at Wells Fargo Center. This position will work alongside and assist the Director, Events positions throughout the events calendar at Wells Fargo Center. This includes sporting events, concerts, family shows, religious shows, seminars, ice shows, and corporate shows, and other events as assigned. The position will liaison with clients, internal departments, and external stakeholders. The Event Manager must have excellent communication skills and the ability to build and maintain relationships with internal and external clients.

Job Description

Core Responsibilities

  • Manages relationships between Wells Fargo Center and the Philadelphia Flyers, Philadelphia 76ers, Philadelphia Wings, Villanova Athletics, external and internal clients, promoters, partners & vendors.
  • Liaise between the venue and its clients, ensuring all elements of clients’ events are thoroughly vetted among the departments while insuring adherence to all appropriate regulations and policies.
  • Develop the operational plan for each assigned event and create complete and accurate production notes based on advance material.
  • Oversee and coordinate all aspects of event planning, event management, and event execution including site visits, client liaison, load-in/load-out, creating event layout, on-site staffing plans, estimates, and settlement.
  • Disseminate event information to appropriate departments through direct communication via meetings, event sheets, and walkthroughs of the building.
  • Lead and participate in production walkthroughs for events.  
  • Provide event estimates and account for show related expenses for billing and settlement.
  • Schedule stagehands and general labor for show load in, show, and load out at the promoter’s request. 
  • Create on-sale & facility maps using AutoCAD Program to include all pertinent operational information for events.
  • Evaluate rigging plots for concerts and shows, and request structural engineering reviews as needed.
  • Build and maintain relationships with outside vendors for show rentals, stagehands, runners, etc.
  • Work with all departments making sure building is clean, clear and ready for events/shows, hospitality events and meetings.
  • Ensure that the equipment, physical setup, and personnel provided meet the requirements of the event.
  • Investigate, analyze, and resolve operational problems and complaints.
  • Represent organization positively with high level of professionalism and customer service at all events. 
  • Acts as “Manager on Duty” in situations where a Senior Leadership is not present.
  • Other duties may be assigned as needed, including supporting Director, Events on large-scale events.

Qualifications

  • Bachelor's Degree preferred in Event Management or Hospitality Management.
  • Minimum of 2+ years’ experience in venue events management and coordination, preferably in the arena, stadium, or convention center environment.
  • Strong project management and organization skills in which attention to detail and the ability to prioritize and manage multiple tasks/projects on time and within budget.
  • Knowledge of facility management, building operations, and safety requirements.
  • Knowledge of fire and safety codes, health codes, and ADA requirements.
  • Ability to demonstrate leadership skills.
  • Excellent ability to establish rapport with others and the ability to build strong interpersonal relationships.
  • Exceptional relationship-building skills demonstrated with the ability to develop and maintain positive long-term relationships with outside vendors.
  • Ability to communicate clearly in a professional manner both verbally and written.
  • Exhibit good judgment, make sound decisions quickly, be proactive and anticipate needs of clients.
  • Ability to meet tight deadlines, multi-task proficiently, work well under pressure with attention to detail and be creative with solutions to client needs.
  • Ability to relate to a diverse customer and employee base.
  • Knowledge of Microsoft Word, Excel, and Outlook.
  • Experience with Event Booking and AutoCAD.
  • Must be able to work extended and flexible hours, including days, evenings, weekends, and holidays.

Physical Requirements

  • Position requires the ability to stand for extended periods of time, walk, run, reach with hand and arms, talk and hear, and the ability to lift and/or move up to 25 pounds.
  • Position requires the ability to use hands and fingers on office and mobile technology.
  • Position requires the ability to listen and speak on phone, in meetings, and in one-on-one conversations.

Work Environment

  • Position will work in an office and arena environment mainly indoors and occasionally outdoors in the weather conditions prevalent at the time.
  • The noise level is usually moderate but can be loud during events.
  • The environment is energetic and fast-paced. The work areas can become crowded with equipment and/or people.
