Job Title:                    Office Supervisor

Department:               FMC Eye Specialists

Reports to:                 Director or Associate Director of Physician Offices

Job Summary:         

This full-time opening is for an Office Supervisor for our busy Allergy office. Qualified candidates should have at least one year of Supervisory/ Team Lead in an outpatient medical office setting. Candidate must be organized and ready to learn surgery scheduling for busy cataract surgeon. The schedule for this position is Monday-Friday 8AM-5PM.

*Preferred one year experience in clinical/allergy preferred*

Essential Functions of the Position:

 

  • Essential Personality Skills and Qualities
    • Must be patient-service focused with the ability to deliver high patient satisfaction.
    • Excellent communications skills required, ability to develop relationships with patients to provide a positive experience.
    • Ophthalmic/optometric experience is preferred but not required.
    • Proficient with standard office equipment and software (Word & Excel); multi-task comfortably.
    • Exemplary organizational skills; willingness to be cross-trained and fill in for other staff members.
    • Ensure all patients, at all times, have a positive experience while in the office or on the phone.
    • Maintain patient confidentiality.
    • Handle incoming call volume promptly and in a professional manner.
    • Travel to satellite location(s).
    • Maintain knowledge of and follow policies, procedures, Code of Conduct, and all Federal and state rules and regulations related to the position.
  • Managerial Responsibilities
    • Coach and counsel staff regarding best practices.
    • Maintain, monitor, and encourage attendance of staff.
    • Coordinate staffing needs and schedules to include PTO requests and coverage.
    • Interview candidates for open positions and extend offers as approved by Administration.
    • Complete staff performance reviews.
    • Complete new hire and termination process.
    • Make recommendations to Administration related to staffing needs.
    • Organize and direct regular staff meetings.
    • Monitor uniform and ID badge compliance.
    • Investigate and gather information related to issues or concerns prior to employee reprimand or staffing change
    • Address and coordinate training needs of department.
    • Attend meetings as required.
    • Notify and educate employees and providers of new policies and procedures.
    • Provide flow of information between providers, management, and staff.
    • Handle and resolve patient complaints.
    • Request patient discharge letters and complete discharge process.
    • Fill-in for front office/ check-in/ check-out duties as needed
    • Navigate the practice management system, post and reconcile payments. 

 

  • Work Flow Responsibilities
    • Manage and maintain physician schedule(s).
    • Monitor employee tasks.
    • Implement new work routines or changes as needed.
    • Investigate and resolve clinical tasks in a timely manner to maintain optimal efficiency in the department
    • Address software, hardware, phone, and Quick Q system issues and create IT tickets if unable to resolve, and monitor ticket statuses daily.
    • Oversee office inventory and generate purchase requisitions.
    • Coordinate and oversee outside chart audits including security access form to IT

 

  • Surgical Coordinator Responsibilities
    • Liaison to patients; assist with completion of paperwork; create, update, and maintain accurate patient files; update database systems, schedule and confirm appointments as necessary.
    • Verify insurance benefits on surgery patients, determine and obtain preauthorization as needed.
    • Assist patients regarding surgery dates, book patients for cataract consultations and surgery, discuss pre and post-op instructions with patients.
    • Confidently communicate with patients face to face regarding surgical options and pricing and answer questions about payment and financing.
    • Obtain signatures from patient on Informed Consent and Financial Responsibility forms.
    • Collect and process surgery payments.
    • Assist patient in obtaining medical clearance prior to surgery as needed.
    • Prepare patient charts for surgery and provide caring help to patients before, during and after surgery.
      • Schedule patient surgical procedures according to established policies and procedures and reliably communicate with Ambulatory Surgery Center staff regarding scheduling and associated matters.
      • Provide call confirmations to all surgical patients prior to their procedure.
      • Handle timely follow-up to prospective, current and past surgical patients.

       

      • Facility Management Responsibilities
        • Address facility issues and create work tickets for Maintenance.
        • Ensure the office is clean and well maintained.
        • Ensure the office is safe by identifying and eliminating safety hazards.
        • Report incidents, accidents, or injuries to Administration by completion and submission of proper form(s).

       

      • Payroll Management Responsibilities
        • Review and update employee attendance through electronic time system.
        • Enter miscellaneous time (i.e. PTO, CME, jury duty, and bereavement time) as needed if available and approved.
        • Collect and submit time sheets for salaried employees.

       

      • Additional Responsibilities
        • Maintain an organized and clean work area.
        • Place phones on and off service at the appropriate times.
        • Participate in maintenance and ordering of office supplies.
        • Perform other incidental and related duties as required and assigned.
        • QC logs and COLA accreditation

Job Qualifications:

  • High school graduate or GED equivalent.
  • 1 years experience in supervisor role in outpatient medical setting.
  • Strong computer proficiency and comfort with Electronic Medical Record and Practice Management Software systems.
