Position Summary:

Pareto Health is seeking a dynamic, highly organized and responsive Senior Executive Assistant to provide support to our executive leadership team and manage a team of three Executive Assistants. The person in this role must grasp business priorities, proactively anticipate needs, and implement process improvements to enhance the leadership team’s efficiency. The Senior EA must demonstrate a high level of professionalism, manage competing priorities in a fast-paced environment, and own calendars and travel schedules for C-Level executives. The ideal candidate should have strong project and people management skills in a team environment and cultivate strong working relationships.

Key Responsibilities:

  • Manage complex calendar and scheduling to support teams in multiple time zones
  • Manage multi-leg travel itineraries (often frequently changing) for multiple executives at once
  • Organize, execute, and assist with team activities (staff meeting agendas, off-sites, and team social events)
  • Manage and lead a team of three executive assistants
  • Serve as the primary liaison between the executive team and internal/external stakeholders, ensuring clear, timely, and professional communication. Keep track of board meetings, materials, and communication.
  • Work closely with the operations team members to track priorities and deliverables across the organization

Required Skills & Qualifications:

  • Bachelor’s degree preferred, or equivalent experience in a related field.
  • Minimum of 7 years of experience as an Executive Assistant, preferably supporting C-level executives in a fast-paced environment.
  • 2+ years’ experience as a manager
  • Demonstrate the flexibility to adapt to constantly changing priorities and circumstances, maintaining composure and effectiveness under intense pressure.
  • Take ownership of tasks and responsibilities, anticipating the needs of the executives and acting decisively without the need for prompting.
  • Exceptional organizational skills with the ability to multitask and prioritize effectively.
  • Experience booking travel on behalf of others.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with project management tools and software is a plus.
  • Ability to work independently with minimal supervision and as part of a team.
  • Strong problem-solving skills and attention to detail.
  • Ability to handle sensitive information with the utmost discretion and confidentiality.
  • Ability to travel domestically about 15% of the time. Often between office locations or by air to company events.
