About the Role

We are seeking a highly organized and detail-oriented Service Coordinator to support maintenance and repair operations in our Edmonton office.

In this role, you will be responsible for coordinating the administrative and operational processes that support equipment repairs and maintenance projects.

You will work closely with planners, supervisors, technicians, and other internal stakeholders to ensure work is properly documented, accurately tracked, and progressed efficiently from initiation through to completion and invoicing.

This position is ideal for someone who enjoys coordinating multiple priorities, managing complex administrative processes, and supporting teams in a fast-paced industrial environment.

Job Description:

What You'll Do

Coordinate Service and Repair Activities

  • Review incoming service requests and ensure all required information is complete and accurate.
  • Create and maintain work orders and supporting documentation.
  • Review equipment and repair history to support service planning activities.
  • Support the planning and scheduling of repair and maintenance work.
  • Identify potential risks, issues, or delays and communicate them to the appropriate stakeholders.
  • Ensure documentation and approvals are in place before work begins.

Support Ongoing Operations

  • Track job progress and maintain accurate records throughout the lifecycle of a repair.
  • Update business systems with real-time information related to work order status, labour, parts, and billing.
  • Support repair planners and supervisors by coordinating administrative activities and documentation.
  • Manage work order adjustments, including labour, material, and billing updates.
  • Coordinate transportation, logistics, and third-party service providers as required.
  • Arrange site access requirements and necessary documentation for field personnel.
  • Schedule and support job planning and review meetings, documenting action items and follow-up requirements.
  • Monitor schedules and proactively communicate risks that may impact timelines, costs, or operational commitments.

Manage Job Closeout and Invoicing

  • Review completed work orders to ensure all required documentation has been submitted and is accurate.
  • Follow up on outstanding labour entries, service reports, invoices, and supporting documentation.
  • Ensure warranty and claim documentation is complete and ready for processing.
  • Coordinate work order closeout activities and prepare jobs for invoicing.
  • Escalate delays or issues that may impact timely job completion and billing.

Support Operational Excellence

  • Act as a key liaison between departments to ensure work progresses efficiently.
  • Provide regular updates on job status and operational priorities.
  • Participate in planning, scheduling, and job review meetings.
  • Build strong working relationships across multiple teams to support successful execution of repair and maintenance activities.
  • Contribute to continuous improvement initiatives focused on operational efficiency and process consistency.

What We're Looking For

Qualifications

  • High school diploma or equivalent.
  • Post-secondary education in Business Administration, Office Administration, Accounting, Project Coordination, or a related field is considered an asset.
  • 2–4 years of experience in a coordination, administration, operations support, project support, or service environment.
