Job Summary

Introba is seeking a Medical Equipment Logistics Manager to join our Team. As a Medical Equipment Logistics Manager, you will be responsible for managing the logistics process on assigned projects including a range of activities from warehouse onboarding, kick-off meetings, scheduling, and other administrative project tasks prior to and after deployment of medical equipment. Candidate will assist with project related procurement activities and coordinating with project team to support the successful delivery of these projects. You will facilitate the progress of deployment, to be timely and accurate while working alongside procurement managers and equipment planners in alignment with both client and internal Introba standards.

Responsibilities & Qualifications

Duties & Responsibilities

You will be responsible for your time management and meeting agreed deadlines set by the team. You will also be accountable for the self-development of your career and actively learning from others, taking advantage of formal training and development, applying relevant academic or industry knowledge, and asking for help when needed. In addition, as a more senior member of the team, you will be accountable as a resource in deployment knowledge, medical equipment preparation and logistics processes, by assisting junior members through mentorship and on-site training.

Installation Management

  • Logistics folder setup within Introba project folder

  • Warehouse Onboarding and Logistics Kick-Off Meetings

  • Travel Planning

  • Coordinate with Procurement for pre-deployment readiness, including reporting, site location contacts and warehousing details.

  • Confirm site readiness with Project Manager including site accessibility, upcoming site activities that may limit deployment activities, any upcoming inspections, etc.

  • Assist project team with coordination of Vendor Installation (OFVI) delivery dates and on-site vendor management.

  • Provide daily updates to the team via a Post Installation Report, including site issues, follow up support needed for medical equipment items and any pertinent site details that need to be documented for resolution.

Installation Issue Resolution Support

  • Provide signed copies of all door sheets and photos of each room to confirm receipt of medical equipment and location on site.

  • Document project site with photos to include standard room types, specialty clinical areas, and administrative spaces.

  • Create and maintain a Deployment Tracker for each project.

  • Provide necessary information to the appropriate teams within a timely manner.

  • Coordinate with team to confirm whether additional visits to site will be required to resolve any post installation issues.

Assembly

  • When required, will assemble Owner Installed (OFOI) medical equipment items in preparation for deployment either at a warehouse, staging area or on site.

  • Prepare for assembly ahead of prep/tag by reviewing the medical equipment list and gathering assembly instructions, if necessary.

  • Provide a copy of assembly instructions to Logistics Operations Manager for items requiring unusual, lengthy, or difficult assembly.

Warehouse and Delivery Scheduling

  • Onboard and mobilize the warehouse team prior to deployment with Kick-Off Meeting

  • Provide and coordinate the deployment schedule with the warehouse to ensure staffing and staging is available and appropriate throughout entire deployment.

  • Manage load strategy and oversee the warehouse team during assembly confirming alignment with schedule and expectations.

  • Maintain consistent communication with the Introba team confirming receiving and deployment dates, adjusting warehouse scheduling as needed.

Training

  • Maintain a list of lessons learned for each project to be shared with your team.

  • Mentor and train junior logistics specialists and medical equipment coordinators in the field

  • Cross-train with other departments within the MEQ platform to learn processes and procedures to grow your knowledge of a project lifecycle.

  • Responsible for maintaining a workload while not in the field and will need to initiate any necessary training to be able to assist teammates when time permits.

Travel:

  • Travel is required for this role. You will be expected to be available to travel up to 90% of your billable time. Overtime in the field may be required which may also include travel and working outside of your normal schedule of Monday through Friday and an 8-hour shift.

Professional Development:

  • Develop and impart current knowledge of medical equipment devices, vendors, and their catalog of products and ancillary offerings to team and junior staff.

  • Facilitate continuing education through research and comprehension of medical terminology, clinical modalities and their equipment needs.

Key Skill Requirements/Accountabilities / Demonstratable Skills

  • Ability to read and understand floor plans and medical equipment drawings.

  • Familiarity with medical equipment specifications for mechanical, electrical, data, and plumbing as it relates to relevance of equipment changes/selection.

  • Understands and works to meet project schedule timelines.

  • Working familiarity with Bluebeam.

  • Conducts efficient and effective logistics kick-off and review meetings.

  • Knowledge of basic and intermediate medical equipment and its’ application within healthcare facilities.

  • Strong oral and written communication skills.

  • Strong analytical skills and ability to collect, organize and analyze data with strong attention to detail.

  • Possess strong organization and multitasking skills.

  • Computer proficiency required including spreadsheets and database.

  • Excellent attention to detail and accuracy, with the ability to identify coordination issues.

  • Computer literate, with good working knowledge of Microsoft Office suite.

  • Ability to maintain confidentiality with accessible company information.

Qualifications

  • Minimum 3 years’ experience in Healthcare Project Planning in either Logistics, Medical Equipment Planning/Coordination or Procurement or bachelor’s degree in healthcare, or supply chain related field preferred.

  • Data entry experience.

  • Highly organized, task driven, and able to meet multiple deadlines simultaneously.

  • Strong attention to detail is required, as are excellent written and verbal communication and interpersonal skills.

Project Experience

  • It is preferred that the candidate has had exposure to healthcare projects working as part of a medical equipment, supply chain or clinical procurement team.
