The Procurement and Contracts Co-Ordinator will support the Sourcing and Contracts and Procurement Operations teams by supporting sourcing activities and executing Contracts and thereafter support Contract lifecycle management.
The role involves liaising with suppliers, preparing and reviewing contract documents and maintaining accurate records to support organizational compliance and operational efficiency.
The position reports to the Business Support Manager and is part of the Procurement team at Astron Energy which is responsible for procurement of all goods and services to support its operations in South Africa and Botswana.

Key Responsibilities (but not limited to):

  • Maintain and organize contracts, records and documentation

  • Draft and review legal documents/contracts and correspondence with quality and according to specific requirements

  • Ensure the effective and efficient execution of contract management activities for allocated categories including the loading of finalized contracts onto the system

  • Manage various stakeholder queries and support

  • Support contract management during its life cycle and ensure contract administration is executed in a timely manner.  Monitor contract performance, obligations and deliverables, ensuring timely renewals, amendments and terminations.

  • Contribute to continued improvement on procurement processes, contract templates and governance frameworks.

  • Embrace an agile supply chain by being adaptive and flexible

  • Support the Procurement functions with back-office support and assist to resolve any escalated issues timeously. 

  • Liaise with internal stakeholders to gather requirements and facilitate communication between procurement, legal, finance, and operational teams.

  • Support market intelligence requests to support procurement initiatives

  • Supplier Relationship Management: Establish and maintain strong supplier relationships

  • Post-award contract administration of Orders: contractual correspondence; support approval of invoices, as appropriate; securing internal approvals;

  • Issue VOs or Amendments, as necessary.

  • Be aware of company’s objective to drive cost reduction, process improvements and supplier improvement initiatives.

  • Support issue of operational procurement dashboards and reporting

  • Provide administrative support to the wider procurement team as needed.

Qualifications & Experience:

Educational Qualifications:

Diploma or Batchelor’s degree alternatively relevant tertiary qualification in Commercial/Legal/Supply Chain/Procurement/Business) supported with technical expertise; and /or technical degree level e.g. Mining/Chemical/Engineering supported with commercial expertise

Work Experience:

A minimum of 2-3 years of procurement experience preferably in the petrochemical, energy or related industries.

Knowledge & Skills:

MS Office Proficiency: Proficient in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint.

Procurement systems: Knowledge and expertise with P2P systems preferably with knowledge of SAPS4Hana and/or Coupa.

Time Management: Good time-management skills to manage multiple tasks effectively under tight deadlines

Supplier Relationship Management: Skills in managing supplier relationships to drive performance, collaboration, and long-term partnerships.  Good communication and organizational skills.
