OVERVIEW OF THE DEPARTMENT/SECTION

The Global HR Central Services team is a centralized, service-oriented function responsible for delivering consistent, efficient, and high-quality HR operational support across regions and business lines. The team manages core employee lifecycle processes, resolves HR inquiries, administers transactions, and maintains HR data and documentation with accuracy, timeliness, and a strong focus on compliance. Working in close partnership with HR Business Partners, HR Centres of Excellence, Payroll, and other key stakeholders, Global HR Central Services drives process standardization, continuous improvement, and a positive employee experience through responsive support, operational discipline, and scalable service delivery.

MAIN PURPOSE OF THE ROLE 

Responsible for overseeing the day-to-day background screening activities across the business, including new hires, compliance driven rescreening and ad hoc/project-based requests. Acts as a key liaison between HR, Compliance, Talent Acquisition (TA), and external vendors to ensure background screening contributes to a seamless and compliant onboarding experience.

KEY RESPONSIBILITIES

Background Screening Management

  • Responsible for overseeing and managing day-to-day screening processes for:
    • New joiners
    • Temp-to-perm conversions
    • Internal hires
    • Interns, graduates, and apprentices
    • Promotions (non-certified to certified roles)
    • Annual rescreening in partnership with Compliance
    • Ad hoc screening projects (e.g. Associated Persons re-screens)
    • Ad hoc requests (e.g. INED/GNED screenings)

Process Improvement

  • Collaborate with HR teams and the wider business to enhance screening workflows and onboarding processes
  • Identify and implement improvements across Background Screening Program Office (BSPO)-related processes (e.g. Early Careers hiring, Compliance screening, onboarding experience)
  • Partner with the screening vendor First Advantage (FADV) to enhance service delivery and candidate experience

Vendor Management

  • Build and maintain a strong relationship with the FADV account manager
  • Accountable for leading weekly service review meetings to:
    • Escalate and resolve issues
    • Monitor performance and turnaround times
    • Identify continuous improvement opportunities
  • Partner with Head of Global AskHR to drive vendor adherence to SLA

Global Process Alignment

  • Responsible to partner with global BSPO colleagues to align and standardise global screening processes and policies
  • Partner with EMEA regional colleagues and project team to extend Background Screening Program Office (BSPO) services and support across EMEA region

Stakeholder Management & Advisory

  • Provide expert guidance to Talant Acquisition (TA) and business stakeholders to ensure smooth onboarding
  • Act as a key point of contact for candidates, supporting them through the screening process
  • Liaise between candidates and background screening vendor (FADV) to resolve queries and improve experience
  • Support HR teams (e.g. Talant Acquisition (TA), Global Mobility (GM)) with ad hoc screening queries

Reporting & Communications

  • Conduct weekly meetings with Talant Acquisition (TA) teams, providing updates on candidate screening progress and risks
  • Communicate effectively with stakeholder groups regarding complex cases

Adverse Screening Management

  • Responsible for leading the adverse screening process when needed
  • Collaborate with stakeholder groups to assess risk and provide hiring recommendations

Training & Support

  • Train AskHR tier 1 and TA teams to support BSPO processes
  • Provide ongoing guidance to internal stakeholders on screening policies and procedures

Onboarding Oversight

  • Advise AskHR tier 1 and TA on pre-employment onboarding processes through to Day 1 readiness
  • Responsible for ensuring completion of all mandatory first-day compliance and legal checks

SKILLS AND EXPERIENCE

Functional / Technical Competencies:

Essential:

  • Strong knowledge of background screening, pre-employment checks, compliance-driven rescreening, and onboarding control requirements
  • Ability to manage day-to-day screening operations across multiple hiring populations, including new joiners, internal hires, temp-to-perm conversions, interns, graduates, apprentices, and certified role promotions
  • Excellent stakeholder management skills, with the ability to advise Talent Acquisition, HR, Compliance, Global Mobility, business stakeholders, candidates, and external vendors
  • Sound judgement and risk assessment skills to support adverse screening reviews and hiring recommendations
  • Clear written and verbal communication skills, including the ability to explain complex cases, provide progress updates, and manage candidate or stakeholder queries
  • High attention to detail, strong organisation, and the ability to manage sensitive cases accurately and confidentially
  • Continuous improvement mindset, with experience identifying and implementing process enhancements that improve compliance, efficiency, and candidate experience

Preferred:

  • Experience working with First Advantage or another background screening vendor
  • Strong vendor management capability, including service review governance, issue escalation, SLA monitoring, and performance improvement
  • Experience supporting global or regional background screening process alignment, particularly across EMEA or multi-country environments
  • Knowledge of HR operations, Talent Acquisition workflows, Global Mobility processes, and pre-employment onboarding practices
  • Experience developing or delivering training, guidance, or process support for HR, AskHR, or Talent Acquisition teams
  • Ability to analyse operational data, turnaround times, service performance, and screening trends to identify risks and improvement opportunities
  • Experience supporting ad hoc screening projects, compliance remediation activity, or process expansion initiatives

Education / Qualifications:

Essential

  • Undergraduate Degree in Human Resources or related field or equivalent work experience

Preferred:

  • CIPD, SHRM, HRCI Certification
