How you will create an impact

This is a fantastic opportunity for an experienced EA to support our International COO and UK & Global Specialty COO. You will be part of a team of global operations executives focused on delivering AIG’s business operations across the UK, Europe, Middle East & Africa, Asia, and South America.

Some of the key responsibilities include:

  • Be a trusted and highly reliable support to the Executive Leaders on the full spectrum of administrative responsibilities

  • Extensive diary management - plan and coordinate meetings, prepare information, monitor status of action items, identify priorities, and organize daily assignments.

  • Be accountable for meeting logistics and preparation of meeting and conference materials.

  • Triage and prioritise incoming meeting requests from a spectrum of internal and external stakeholders.

  • Coordinate complex travel arrangements, both domestic and international.

  • Carry out instructions of the International COO at a high level to successfully complete tasks at hand

  • Maintain continuous and effective communication - interface with clients, management, and employees as necessary.

  • Research, compile, and summarise data for special projects and/or reports

  • Help prepare executive level communications and associated collateral for key meetings, briefings, etc.

  • Partner with administrative peers and other colleagues in the Executive’s office to provide a teamwork approach for executive coverage and follow-through

What you’ll need to succeed

  • Extensive experience supporting senior executives, preferably in a large, multi-national global environment.

  • Experience in extensive diary management and meeting coordination across various time-zones.

  • Experience in coordinating complex travel

  • Ability to multi-task and prioritise work in a fast-paced environment. 

  • Excellent communication and relationship building skills

  • Proven discretion and ability to assume autonomy and use independent judgement.

  • Detailed knowledge of MS Office software including Word, Excel, and PowerPoint.
