Position Overview

StepStone Group is currently seeking an Administrative Facilities & Operations Associate of StepStone in our New York is an energetic and communicative professional who thrives on wearing multiple hats. This role will work very closely with the Facilities Coordinator and Receptionist to manage various office needs, as well as work with various vendors contracted with the New York Office.

Essential Job Functions:

Manage Office Requests 

  • Visitor processing (both internal and external)
  • Work closely with facilities coordinator to arrange seating in office
  • Work closely with reception on conference rooms
  • Liaise with facilities coordinator to oversee all work needed in the office suite
  • Coordinate In-Office Happy Hours once a week
  • Assist in major events (Summer Party and Holiday Party)

Kitchen Maintenance

  • Restocking of (3) kitchens including snacks and beverages
  • Order from Fresh Direct then unload and stock order on Monday and Wednesday
  • Maintenance and inventory of Storage closet
  • Process invoices from Staples, Fresh Direct and others

New Hire Onboarding

  • Gifting for New Hires
  • Touring new hires around office

Office Events

  • Coordinate NY events alongside the Marketing team and Facilities Coordinator
  • Preparation and coordination of meetings and events such as all-team Town Halls, Leadership team meetings, offsites and other department-wide meetings, such as summer intern/analyst program, etc.
  • Work closely with Marketing and Events team to make sure that events are covered and communicated to the broader Admin team
  • Packing and shipping of year end gifts

Administrative tasks

  • Reception backup & Facilities Coordinator Back Up
  • Assist with FedEx labels and mailing
  • Mail and Package Distribution
  • Other projects as assigned

Education and/or Work Experience Requirements:

  • 5+ years of office manager, facilities, operations and/or events experience

Required Knowledge, Skills, and Abilities

  • Acute attention to accuracy and detail
  • Effective communication skills and strong problem-solving skills
  • Energetic, motivated, and team-oriented with no task too big / too small attitude
  • Ability to function well in a high-expectation/low-oversight environment; an independent thinker and self-starter
  • Ability to prioritize activities while working on multiple projects and achieve target deadlines
  • Proficiency with building rules and codes / negotiating and dealing with external vendors

  • Ability to stand for extended periods
  • Ability to lift 25+ pounds if needed
  • Willingness to work a flexible schedule – 5 days in office for first 30 days
  • Ability to work later when needed
  • High level of confidentiality

Salary Range - $80,000 - $100,000

The salary range is an estimate of pay for this position.  Actual pay may vary depending on job-related factors that can include location, education, skill, and experience.  The salary range does not include any benefits or other forms of possible compensation that may be available to employees.
