Position Purpose :

Provides administrative support to the Senior Director and Human Rights Office staff.  Manages highly confidential information relating to labour relations and employee Equity, Diversity and Inclusion (EDI) data. Provides basic notices relating to labour relations, particularly when managing complaints between employees handled at the HRO. Ensures smooth office operations and supports the implementation of activities and projects.

Typical Accountabilities

  • Customer Service: Conducts intakes with individuals who seek the services of the HRO; actively listens; assesses and determines the nature of the request; provides information and impartial advice; explains procedures and options. Greets, informs and redirects internal and external clients on behalf of the Senior Director. Receives and screens correspondence and calls for the Senior Director, determines the relevance and urgency to ensure follow-up, and informs or involves the Senior Director as necessary. Processes sensitive and confidential inquiries in a neutral and trauma-informed way and provides information as required. Drafts, translates and anonymizes automatic responses and uploads them in the case management system for future use.
  • Financial: Administers the ongoing financial transaction processes for the HRO, to maintain financial integrity and transparency and to ensure compliance with established policies. Acts as approval agent for invoices, travel advances, requests for reimbursement and credit card statements to verify that documentation and taxation are in accordance with applicable policies and regulations.
  • Purchasing:  Purchases goods and services for the HRO, on purchase orders or on credit card, in compliance with all relevant policies. Requests estimates from suppliers on behalf of internal clients and provides recommendations.

Knowledge, Experience and Skills

  • Postsecondary education in administration and office technology or an equivalent combination of education and work experience
  • Minimum two years of demonstrated experience in a similar role
  • Bilingualism (French and English) and highly developed interpersonal, verbal and written communication and presentation skills
  • Experience in using software such as Windows, word processing, electronic agenda, spreadsheets, databases, presentation software, email, web management and internet
  • Experience in entering and reviewing financial data.
  • Demonstrated analytical and problem-solving skills, including the ability to synthesize complaints, identify individual and systemic issues, assess jurisdiction and identify avenues for potential recourse
  • Knowledge of accounting principles normally acquired through postsecondary studies in a related discipline or an equivalent combination of education and work experience.
  • High level of discretion
  • Excellent organizational and administrative skills; ability to work independently with limited direction, adapt to a changing environment, prioritize work and meet deadlines while attending to precision and quality
  • Demonstrated professionalism, sound judgment and discretion to ensure the independent, impartial and confidential operation of the Office; knowledge of and adherence to principles of natural justice and administrative fairness
  • Experience dealing with people in a highly diverse environment requiring sensitivity, cultural competence, and confidentiality; ability to build credibility and to develop effective and collaborative working relationships.
