OVERVIEW
CAA Books is a fast-paced department selling publication and media rights across all languages, territories, and formats to establish and develop literary careers worldwide; we work with internationally acclaimed and bestselling authors across fiction and non-fiction.
We are looking for a new detail-oriented and efficient Assistant to Translation Agent to join our team, primarily to support one of our Agents. This Assistant will work primarily on a client list UK- and US-based talent and authors including names like Reese Witherspoon, Christian Horner, Naomi Watts, Emma Heming Willis, Jeremy Renner, Darren Aronofsky, Kevin Roose, Tamar Adler as well as many other bestselling writers of commercial non-fiction.
RESPONSIBILITIES
Providing administrative support to the Agent in all areas including diary management, booking travel, scheduling meetings, and handling expenses.
Maintaining and updating our database and other systems, including logging submissions, feedback, deals, and contact information.
Drawing up and tracking contracts, invoicing, payments and author copies.
Liaising with our Business Affairs and Finance departments, primary agents and clients’ teams, scouts, international co-agents and third party publishers on a daily basis.
Reading and commenting on authors’ new material, occasionally preparing submission letters or conducting market research.
Dealing with rights enquiries, publicity enquiries and preparing material for submissions.
Acting as the primary point of contact for client enquiries by telephone and email.
Liaising with the Translation Agent on day-to-day author business.
Fielding phone calls and emails for the Translation Agent.
Handling a high volume of publicity enquiries.
Preparing newsletters and keeping our website up-to-date.
Collating material and preparing guide entries for book fairs and trips, and handling all administration around them.
Handling post, author copies, book orders.
QUALIFICATIONS/REQUIREMENTS
Must have a keen interest to develop a career in the publishing industry, a passion for books and reading, particularly commercial non-fiction, as well as an interest in pop culture. An understanding of illustrated publishing is desirable.
Ability to identify emerging trends within publishing and associated industries e.g. media such as podcasts, film, TV, social media and the visual arts.
Must have proven administrative experience. Relevant previous experience within the publishing industry, either in Rights, Editorial or Marketing and Publicity is desirable.
Strong interpersonal skills and an ability to remain composed and efficient under pressure.
Proactive and problem-solving attitude, with an ability to effectively prioritise and work to deadlines within a fast-paced environment.
Excellent written and verbal communication skills at all levels, with a solid understanding of confidentiality requirements around high-profile clients.
Attention to detail.
Ability to work off own initiative and take ownership of tasks and responsibilities.
Must be a team player who contributes fully to the team effort and plays an integral part in the smooth running of the department.
Tech-savvy and fully proficient in the Microsoft Office suite, including Outlook, Microsoft Word, PowerPoint, and Excel.
Additional language skills are desirable but not essential.
