Purpose of the Job

Responsible for delivering transactional support and advice to all employees in their operational activities including but not limited to creating and managing employee profiles, processing of salary & benefits, maintaining HR systems

and ensuring the integrity of HR data.

Primary Responsibilities

  • Support a culture of continuous improvement by creating efficiencies, technology initiatives and reducing complexities (priority on the internal processes), where possible, and more proactive in driving discussion with related stakeholders in the branch/regional to streamline the process out without jeopardizing internal procedures and requirements.
  • Support to practice budget discipline and manage cost while ensuring the realization is within the approve budget (car, stationary, etc).
  • Deliver extraordinary customer service to enhance function's reputation and meet customer's expectations.
  • Work in partnership with Head Office to seek guidance and consult on various matters, including but not limited to project implementation.
  • Work closely with all employees in providing support and advice on HR administration matters and ensure the delivery of a high quality of service.
  • Perform administration processes related to including but not limited to payroll, personnel expenses, medical insurance, employee loan, expatriate matters and taxation.
  • Ensure the smooth onboarding of employees by registering employees to systems and organizing the Administration of ID Card.
  • Maintain data in relation to all employee information into the Human Resource system, champion data integrity and utilize the system to its full capability. Ensure adequate controls in place to reduce errors and appropriate internal procedures and controls are in line with best practice HR.
  • Support internal and external audits within the department by preparing documentation as required.
  • Prepare various letters for employees including but not limited to passport/visa application.
  • Support in managing the risk profile for the department.
  • Prepare various reports including but not limited to Manpower BPJS Report, Health BPJS Report, Overtime
  • Report, Manpower and Expatriate Utilization, Employee’s Loan, Consecutive Leave Report and some other reports.

General Requirements

EDUCATION
• Degree or equivalent work experience equally preferable
• Degree in business, Human Resources or a relevant field


WORK EXPERIENCE
• Minimum of 1 year of work as an HR Generalist or within a HR Operations/Shared Service environment
• General HR knowledge and understanding of working practices and employment legislation
• Exposure to process mapping
• Awareness of how current legislation impacts employment practices
• Experience of managing transactional Employee Relations activity within defined process
• Experience working with any HR system

FUNCTIONAL SKILLS
• Sound IT knowledge and skills
• Strong quantitative / numerical skills
• Excellent Microsoft Office skills
• Strong presentation skills
• Proven experience with Workday
• Understanding of the employee lifecycle
