Job Description:

Your responsibilities:

Project & Sales Admin duties

  • Perform project administration activities and take responsibility for coordinating specific project documentation and deliverables, interact with customers to track project document submittals and approvals, coordinate with suppliers for project material deliveries and goods receipt.
  • Monitor, control and release requests for invoicing, based on instructions from the Project Manager.
  • Collect, compiles and issues project submittals, to and from customers, track document approvals from customer and record document flow according to schedule.
  • Assist Project Manager to liaise with supply chain on the latest project status and delivery schedule in the SAP, collaborate with the supply chain function to ensure that correct suppliers services and equipment are available to support the engineering execution and manage receipt of goods, records and update project manager on goods received.
  • Maintain detailed records and databases of each project
  • Responsible for order booking and maintaining accurate records in SAP.
  • Daily communication with Project team to track order progress.
  • Provide comprehensive administrative support to Sales team, including document preparation and submission of tender documents
  • Liaise and coordinate with internal teams and external stakeholders to collect necessary documents.

General Admin duties

  • Perform office administrative duties including daily office administrative operation (such as handle incoming calls, correspondence, courier management and greeting guest), office equipment procurement, facilities management, car related issue and document management.
  • Set up and maintain an organized and efficient filing system for both physical and electronic records, ensuring timely updates and accessibility.
  • Assist in local marketing activities and campaigns, including logistical support (scheduling and coordinating travel arrangements).
  • Maintain collaborative relationships across departments to facilitate smooth operations.
  • Ad-hoc duties as assigned by supervisor.

Job Requirements

  • Higher diploma or above in any disciplines.
  • At least 5 years of relevant experiences is preferred.
  • Good command of spoken and written English and Chinese.
  • Proficient in computer applications including MS Word, MS Excel, MS PowerPoint.
  • Experience on SAP system is a plus.
  • Fast paced, proactive, positive with mature and detail-oriented mindset.
  • Strong time management skills, with the ability to prioritize tasks.
  • Good communication and interpersonal skills; able to be flexible and work in a team environment.
