SUMMARY:
The Coordinator of Facilities & Operations, reporting to the Assistant Director of Facilities & Operations, supports the day-to-day and long-term management of the residential communities to ensure they are safe, functional, and well-maintained. This position assists with preventive maintenance planning, access control, asset management, and departmental projects, while coordinating with SSC Services for Education (custodial and maintenance) and Red River Outdoor Living (grounds). The Coordinator of Facilities & Operations collaborates with internal and external partners to uphold high standards of safety, efficiency, and building care, leveraging strong interpersonal skills and knowledge of student development to foster vibrant, supportive communities that promote learning and holistic growth.
DUTIES & RESPONSIBILITIES:
Facilities Operations & Maintenance (35%)
Oversee and coordinate daily maintenance requests and work orders to ensure timely resolution.
Conduct regular inspections to ensure facilities meet safety, cleanliness, and operational standards.
Assist in planning and executing preventive maintenance and minor repair projects.
Collaborate with custodial, maintenance, grounds, and other vendors to maintain high-quality residential communities.
Asset, Security, & Access Management (20%)
Maintain accurate records of departmental assets, including furniture, equipment, and keys.
Monitor and manage access control systems to ensure secure residential communities.
Assist in developing and updating access and security procedures.
Conduct periodic audits of assets and access privileges to ensure compliance.
Operational Planning & Coordination (20%)
Coordinate and track operational projects, ensuring alignment with departmental priorities and goals.
Assist in the development and implementation of standard operating procedures.
Monitor timelines and progress for facility projects and service initiatives.
Facilitate communication between departments to ensure smooth workflow and project execution.
Supervision & Training (15%)
Coordinate and support the daily activities of student staff to ensure smooth operations.
Provide guidance on departmental policies, procedures, and operational best practices.
Provide practical training and guidance on operational procedures and safety best practices.
Foster teamwork, collaboration, and a positive work environment among staff.
Departmental, Division, and Professional Commitments (10%)

MINIMUM REQUIREMENTS:
Education: Bachelor’s degree in Project or Facilities Management, Business Administration, Higher Education, or a related field.
Experience/Knowledge/Skills: Minimum of two (2) years of experience in facilities operations, residential or student housing operations, or related areas. Experience coordinating staff, assisting with operational projects, and supporting student development programming is preferred. Strong written and verbal communication skills.
Ability to: Multi-task and work well as part of a team.
Licensing/Professional Certifications: Valid driver’s license. Certified or must obtain certification to drive within 60 days of date hired.

Other Requirements: Occasional evening and weekend hours as needed.
PREFERRED EDUCATION/ SKILLS/EXPERIENCE:
Previous experience supporting or coordinating facilities or operations staff in a higher education or residential setting is preferred, including familiarity with campus facilities operations, maintenance coordination, and emergency response protocols. Experience with facilities or residential management software, such as StarRez, Transact, and/or Roompact, and the ability to assist with operational planning and team support initiatives are also preferred.
SUPERVISION OF OTHERS:
Directly supervises student staff in the Facilities & Operations functional area.
CRITICAL INFRASTRUCTURE COMPETENCY:
Ability to maintain the security and integrity of critical infrastructure, which may include communications systems, computer networks and systems, cybersecurity systems, electrical grid, hazardous waste treatment system or water treatment system.
