The Transaction Specialist will support property acquisition and disposition activity. If you have experience in transaction management or title/escrow in a multi-state, high-paced environment, and you are looking to join a growing team within an innovative and collaborative environment, then we want to meet you! This position is based in Dallas, Texas, supports the Investment Management Group teams located in multiple markets and will report to the Vice President, Investments.
What You’ll Do
Coordinate with Treasury to request earnest money deposits and closing funds for acquisitions of single-family homes.
Track refunds of earnest money deposits for cancelled acquisitions.
Review and approve due diligence materials, disclosures, including property photos, HOA documents for any rental restrictions, leases, preliminary title reports, and deeds for acquisitions of single-family homes.
Communicate directly with agents, title, and escrow companies from contract to close.
Communicate with IH rehab teams to ensure inspections are scheduled and budgets are received in a timely matter.
Upload transaction and closing documents (e.g. deeds, HOA documents, title policies) for newly acquired properties to SalesForce.
Track acquisition pipeline properties through to close and ensure closing dates are accurate in SalesForce.
Execute contact addendums (e.g. extending close date, reduction of purchase price, credit in lieu of repairs) and upload to SalesForce.
Review settlement statements to confirm accuracy of terms and execute closing documents (e.g. escrow instructions, deeds).
Collaborate with Accounting, Property Operations, HOA and Technology business units to onboard acquired single-family homes.
Assist with management of data rooms for bulk transactions, including uploading property photos, rent rolls, leases and related transaction materials.
Ensures purchase contracts accurately reflect terms approved by Director/Vice President, Investments.
Coordinates execution of purchase contracts in compliance with the grant of authority policies of Invitation Homes.
Upload purchase contracts into the system of record and ensures accuracy of contract details in the system of record.
Assign listings to third-party brokerages and coordinate repairs, if any, while the property is vacant.
Coordinate with third-party brokerages to ensure homes are maintained and clean during the listing period.
Track Days on Market and coordinate list price reductions with the Director/Vice President, Investments.
Review MLS listings to confirm marketing details and disclosures comply with Invitation Homes listing guidelines.
Track dispositions closings from contract to close to ensure closing dates are accurate in SalesForce.
Pursuant to approval from Director/Vice President, Investments, execute listing agreements and contract addendums (e.g. extending close date, reduction of purchase price, credit in lieu of repairs) and upload to SalesForce.
Upload purchase contracts in SalesForce and ensure accuracy of contract details in SalesForce.
Communicate directly with agents, title, and escrow companies from listing to close as directed by Director/Vice President, Investments
Review settlement statements to confirm accuracy of terms and execute closing documents (e.g. escrow instructions, deeds).
Liaison between Listing Agents and Director/Vice President, Investments for buyer concessions
Assist with management of data rooms for bulk sales including uploading property photos, rent rolls, leases and related transaction materials.
Who We’re Looking For
High school diploma or equivalent is required for this position
Real estate license a plus
Notary a plus
Proficient with MS Word, Excel and Outlook
Experience using transaction software (i.e. Dotloop, Sure Close), SalesForce, Adobe and DocuSign preferred
Must maintain professional appearance and comply with prescribed uniform policy
Ability and desire to work in a fast paced-environment
Ability to work flexible hours
Extremely strong organizational skills; ability to manage multiple priorities and deadlines
Knowledge of the complete life cycle of a residential real estate transaction
5+ years experience with a residential real estate brokerage, Title company or Escrow company.
Familiar with state real estate association purchase contract documents
Strong oral and written communication skills
Outstanding interpersonal skills; team-oriented
Self-starter comfortable working in a fast-paced environment
