Main Purpose of the Job: The role is crucial in ensuring the accurate and timely preparation of public tenders and quotes. This position also supports various marketing initiatives and manages customer documentation, ensuring compliance with company policies and GDPR regulations.

Key Responsibilities:

  • Tender & Quote Management: Prepare and manage public tenders and quotes, update company reports, and support marketing initiatives.
  • Collaboration: Work closely with sales representatives and managers, update internal files, and ensure compliance with company policies.
  • Customer Support: Manage customer documentation, provide support for product registrations, and handle customer inquiries.
  • Privacy Steward: Maintain privacy documents, support the Privacy Manager, manage data subject requests, and ensure GDPR compliance.

Qualifications:

  • Education: Degree in Business Administration, Economics, Law or a related field.
  • Experience: Previous experience in tender and quote management, customer support, or a similar role.
  • Language Skills: Proficiency in Italian and English is essential.
  • Tender platforms Knowledge: Familiarity with telematic platforms for tenders (MEPA, Sintel, Empulia, etc.).

  • Technical Proficiency: Familiarity with CRM software and Microsoft Office Suite.

Detailed Responsibilities:

  • Follow company guidelines to autonomously prepare documentation for bids, tenders, and offers.
  • Analyze tender specifications and collaborate with sales representatives and managers to evaluate products and prices.
  • Update internal files on ongoing tenders, historical tenders, adjudications, lost tenders, and company reports.
  • Periodically update all administrative and technical documentation required for tender participation.
  • Check daily tenders and send them to sales representatives for confirmation and quotations.
  • Verify emails and certified emails daily.
  • Provide support to sales representatives for any related questions.
  • Act in compliance with Abbott policies and procedures and collaborate during company audits.
  • Manage customer pricing in SAP.
  • Provide customer support via phone, including commercial and product support.
  • Support product registrations and update product documentation.
  • Send letters to customers regarding product substitutions and analyze price situations.
  • Manage all customer documentation requests and maintain archives.
  • Keep all privacy-related documents updated in accordance with Abbott policies and procedures, with support from the Data Protection Manager.
  • Support the Privacy Manager in drafting and updating the Record of Processing Activities (ROPA).
  • Manage data subject requests and provide guidance on GDPR compliance for new databases.
  • Collaborate with the Privacy Manager to prepare audit documentation.
  • Report any security or personal data incidents to the Privacy Manager.
  • Attend privacy training courses and participate in privacy-related calls.
