Order Entry Specialist

What You’ll Do

  • Logistics support for different countries
  • Process orders and payments from importers
  • Monitor and coordinate product change information and back orders
  • Monitor and coordinate contracts: instrument, RAP, sales and rental and all reports accordingly.
  • Perform administrative and clerical duties as required for effective operation of the Logistics department, take care about incoming correspondence, dispatching orders and back orders,
  • Deliver reports accurate and on time, inform customers about shipment schedule and participate in making new schedule,  communication with distributors regarding shipment dates, item number change, invoicing, providing support when certificates are needed
  • Communicate with distributors and improve customer-feedback system, reduce items on backorder and ensure most early delivery.
  • E-mailing for approval and mistakes in order
  • Back orders - coordination between planner, distributor, sales person and CSSR –
  • handle complains and reports - coordination with Germany - payments, statements of account
  • Reporting total sales to Commercial Manager, Finance Manager and CSSR
  • Report statements of account for all divisions.
  • Forward distributor payments
  • Provide support to Sales Managers and Sales team
  • Provide information to Sales team, CSSR and management upon request
  • Instrument orders and contracts checking availability, providing signatures and completing documentation and sending to CSSR
  • Instrument placement (for example Debit/Invoice and Credit Note requests and back up documentation)
  • Support/help to employees (Sales team) regarding policy and procedure issues

 

Required Qualifications

  • High school – min. 2 years experience or university degree
  • Good knowledge of English.
  • Excellent inter-personal communication skills                  
  • Good computer knowledge (Word, Excel, Power point, Internet)
  • Good knowledge of SAP is a plus

 

Preferred qualifications

  • University degree (Economics)
  • Understanding of financial accounting
  • Understanding of general logistics processes
  • 1 year experience on similar position in the pharmaceutical industry or multinational company
