Job Description Summary:

The All of Us Research Program Heartland Consortium (AoURP-HC) is a four-state collaborative effort between the University of Kansas Medical Center (KUMC) and The University of Kansas Health System (TUKHS), the University of Missouri (MU) and MU Health Care, the University of Iowa (UI) Health Care, and the University of Nebraska Medical Center (UNMC), along with the aforementioned affiliated clinics, and networks of community partners with locations in urban, suburban, and rural communities across the four-state geographical region.

The AoURP-HC activities are part of the National Institutes of Health All of Us Research Program vision and goals to enroll a cohort of one million diverse participants to build an indispensable resource that accelerates precision medicine for all populations. The AoURP-HC aims to address health disparities by increasing the participation of racial/ethnic minorities and rural residents in the largest precision medicine initiative in history.

The administrative assistant of the All of Us Research Program at the University of Kansas Medical Center will provide comprehensive administrative support at our AoU Engagement Center and will also provide direct administrative support the AoU Program Director. This role will be a predominantly public facing role, an integral part of day-to-day operations of the engagement center and will report directly to the staff supervisor under the leadership of the program director.

Job Description:

Job Duties Outlined 

  • Perform supply purchasing, submit requisitions, and submit travel reimbursements in Workday. 

  • Assist with submitting and verifying account transactions. 

  • Manage program documents, e.g., lab certifications, training documents.  

  • Take meeting minutes, schedule meetings, schedule and greet participants, make reminder calls, comfortable working independently and as a team member.

  • Create spreadsheets and administrative forms utilizing Microsoft Word, Excel, Outlook, PowerPoint, and Visio. 

  • Compose and prepare correspondence.

  • Organize and maintain AoU office supplies and equipment. 

  • Place work orders for housekeeping, IT, and facility maintenance services. 

  • Assist with various meetings, conferences, and symposiums.

  • Manages the program director’s calendar, appointments, and meetings.

Work Environment: This is a full-time, on-site position.

Required Qualifications

Education: Associate's degree. Experience may substitute for the degree requirement on a year-for-year basis.

Work Experience:

  • 2 years administrative experience.

  • Experience with Microsoft Suite.

  • Experience in customer service.

Preferred Qualifications

Education: Bachelor's Degree preferable with focus in business administration, supply chain management or a similar field preferred.  

Work Experience:

  • Experience in Higher Education

  • Experience with Workday

  • Experience interacting with the public in various community settings.

Skills

  • Excellent organizational skills

  • Able to independently problem solve, manage competing tasks, and professionally interface with a variety of individuals.

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
