Overall Purpose
The Contracts Administrator will be responsible for assisting the Contracts Manager in preparing, reviewing, negotiating, and administering contracts in accordance with company policy, as well as assisting with the review and preparation of bids/RFPs.  The candidate will interact daily with operations, sales and accounting staff and must be highly organized, detail oriented, and able to communicate effectively.

Primary Duties

  • Responsible for first-line review of all contracts and formal procurements such as bids and RFPs.
  • Answer contract-related questions and provide contractual information and support to operations and sales staff to ensure continued compliance with contractual obligations.
  • Assist accounting staff in collecting required documentation and approvals for contract audits.
  • Responsible for maintaining a high volume of detailed contract files and historical information in accordance with company policies, procedures, and ISO standards.
  • Assist Contracts Manager in updating and maintaining standard contract templates.
  • Draft contracts, modifications, acknowledgement letters, subcontract agreements, etc.
  • Handle contractual insurance and bond requests.
  • Responsible for performing contractual information research for data entry into Sharepoint.
  • Responsible for completing special assignments as required.

Required Qualifications

  • Bachelor’s degree required with minimum 2 years’ experience in Contract Administration, preferably in a municipal, federal and/or engineering services environment.
  • Ability to work in a high-volume, fast-paced environment.
  • Must be a self-starter, detail-oriented and highly motivated with the ability to work under minimum supervision.
  • Must have excellent interpersonal and verbal/written communication skills.
  • Proficient in MS Office (specifically Excel and Word).
  • MS Sharepoint and Deltek Costpoint experience is a plus.
  • Overall knowledge of Federal Acquisition Regulation (FAR) and DFAR.
