Job Description Summary:

The associate dean provides leadership, strategic planning, and management for operations that relate to recruitment, selection, and matriculation of students to the School of Medicine. The associate dean ensures national guidelines and university/school policies and procedures are followed accurately and fairly. The associate dean is responsible for the operations of the Admissions Committee and reports to the Senior Associate Dean for Student Affairs.

Job Description:

Management of Admissions and Premedical Programs

Lead the Office of Admissions and Premedical Programs. Lead the Admissions Committee in the design, development, and implementation of admissions processes. Oversee the design, development, and implementation of informational programs and materials to encourage and educate potential medical school applicants. Provide direction for marketing and public relations activities for the School of Medicine with respect to recruitment and admissions. Provide an interface for the director of the MD/PhD Physician-Scientist Training Program on the MD/PhD admissions process.

Administration

Assure compliance with all admissions-related LCME accreditation elements. Collaborate in the design, development, and management of the Medical Education Data Source. Provide stewardship over recruitment and admissions data, including oversight of responses to internal and external data requests. Develop the departmental budget and provide fiscal oversight. Produce statistical and descriptive admissions reports for internal use and external agencies. Interface with Legal Counsel to maintain compliance on relevant legal issues.

Internal Leadership

Collaborate with the leadership of the Offices of Student Affairs, Diversity and Inclusion, Medical Education, Rural Health Education, and Student Financial Aid to achieve School of Medicine goals in the recruitment and retention of medical school applicants. Collaborate with the Offices of Student Affairs and Medical Education on matters related to student education and success. Collaborate with student affairs officers on Salina and Wichita campuses on campus recruitment and enrollment management activities. Serve on the SOM Academic and Professionalism Committee, the SOM Scholarship Committee, and other committees and task forces as assigned. Represent the Executive Dean and Senior Associate Dean for Student Affairs as requested.

External Leadership

Serve as the liaison between the School of Medicine and undergraduate college and university premedical advisors and faculty throughout the region. Develop and maintain positive relationships with premedical advisors of Kansas and regional colleges and universities. Serve as the School of Medicine’s liaison to the AAMC and AMCAS in matters related to admissions. Participate in national and regional meetings of the AAMC and the National Association of Advisors for the Health Professions.

Advising/Counseling

Facilitate communications with applicants, faculty, alumni, and other interested parties concerning the process of application to the School of Medicine. Advise prospective applicants and premedical advisors on application procedures and School of Medicine policies that govern its admissions processes. Counsel rejected applicants.

Scholarship/Research

Foster and engage in educational scholarship and scholarly research related to the process of recruitment, selection, and matriculation of students. Participate in the analysis of data and research regarding student matriculation, academic performance, academic promotion, graduation, and career outcomes as related to preadmissions and admissions data.

Required Qualifications

Education: Masters’ degree

Work Experience:

  • Minimum of five years of progressively increasing responsibility and direct experience in undergraduate and/or graduate admissions operations.

  • Extensive experience in data systems management.

  • Demonstrated administrative management experience.

Preferred Qualifications

Direct experience in medical school admissions

Doctoral degree

Extensive experience in medical school student services

Skills

Excellent communication, interpersonal, and organizational skills.
