The Office of Academic Services plays a key role in advancing the University's educational goals through implementing and administering the academic policies established by the University's academic body. We provide academic services for students from the time of their matriculation to their graduation.
This role will contribute significantly to the administration of matriculation, leave of absence and programme withdrawal of graduate students. The incumbent will work independently and collaboratively across teams. He/she will also ensure judicious management of student archives.
Matriculation Administration
Manage the end-to-end matriculation process for new students including scheduling, preparing communication materials, system set-up, and coordination with the Office of Admissions.
Manage issuance of student cards and digital ID) including photo collection and approval, transmission of student data to external printer, dissemination of printed cards to Schools.
Resource planning (budget and temp manpower).
Transfer of student records from Admission to Academic system and ensure completeness.
Student Particulars and Enrolment Records
Manage student enrolment records in compliance with data privacy policy.
Supervise updates to changes in student particulars including name and nationality status.
Conduct regular audit on the updates.
Manage transfer of student data to MOE.
Prepare/Coordinate provision of info/data on student and enrolment status to stakeholders.
Attend to adhoc requests/queries from stakeholders.
Student Study Pathways and Change of Programme
Manage student requests for change of programme, mode (full-time or part-time) and option of study. (coursework only or cum dissertation) for graduate (coursework) students.
Manage students’ specialization records.
Resolves any issues with Schools.
Student Leave of Absence and Programme Withdrawal
Central oversight of leave of absence and withdrawal from University.
Provide guidance to Schools and students on fee liability, policy and processes.
Provide insights, with data and governance considerations, to academic leaders during review process of appeal cases.
Ensure accurate set up of online application systems.
Collaborate with business analyst and IT partner on system configurations and change request.
Policy and process review, business-IT alignment, special projects
Supports business process streamlining, designing of workflow, process automation and system enhancement.
Support development and review of policies and procedures.
Business partnering with Colleges, Schools, CITS and admin depts on systems and processes.
Key Requirements:
Bachelor’s degree in any discipline.
At least 6 years of working experience in administration, preferably in academic services in a tertiary institution.
Working knowledge of Denodo and SQL will be an advantage.
Familiar with the Personal Data Protection Act, in relation to collection, use and disclosure of student personal data.
Excellent in written and oral communication, and interpersonal skills.
Strong planning and organising skills, with high attention to details.
Self-driven with high integrity and resilience.
Ability to work effectively with a diverse community.
