Job Summary

Plans, organizes and manages the logistics for industry and corporate events (e.g. sales kick offs, user conferences, advisory boards, trade shows, etc.) for internal and/or external clients to increase product and brand awareness. Drives exhibit / meeting space and display setup based on event strategy and business needs. Coordinates advanced and on-site registration, and post-event follow-up and evaluations. Researches available venues, recommends event sites and negotiates with the venue. Manages services with all vendors related to the event including catering, AV and event support. Prepares budgets and forecasts, and compiles summaries of total event costs, audience profiles, and attendees' comments.

Job Responsibilities: 

  • Lead the planning and execution of user conferences and sales kick off events

  • Identify and assist with negotiations for space contracts and books event space based on event needs

  • Manage all aspects of trade show logistics and execution; including booking trade shows, choosing exhibit placement and managing all vendors associated booth install and teardown

  • Mange event budget including recording of costs and manage of vendor payments

  • Provide exceptional oral and written communication to ensure seamless coordination across all stakeholders

  • Collaborate with Partner, Solutions and Revenue marketing teams to maximize the impact and value of events

  • Lead meetings, both within marketing and the business, to collaborate on event needs and prepare overview presentations for executive leadership

  • Prepare name tags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc.

  • Open and close out all events as required

  • Coordinate appointments and scheduling of events on the calendar

  • Help document activities prior to and during the event for internal and external clients

  • Maintain event calendars for internal and external audiences 

  • Order and maintain inventory of branded giveaways and literature

  • Conduct research, makes site visits and/or finds resources to deliver on the event goals

  • Order audiovisual equipment, power, signage, F&B, etc. 

  • Research, recommend and book external speakers

  • Own Cvent registration flow and build

  • Serve as liaison with vendors and event-related matters

  • Flexible to work hybrid out of our offices based in OKC, Arizona, Kansas or Atlanta.

  • Detail-oriented, highly organized, deadline-focused and have the ability to communicate in a clear and professional manner

  • Excellent interpersonal skills both in person and virtually, with high professionalism

  • Ability to accomplish projects with little supervision

  • Fantastic customer service ethic and high expectations for quality

  • Working knowledge of office suite including Powerpoint, Excel and Work and/or Google Suite

  • Technical aptitude with working knowledge of of event software for in person and virtual events

Minimum Qualifications / Education

  • Bachelor’s Degree, combination of relevant training and/or experience in lieu of degree

  • Minimum of 8 years of relevant experience in event planning

  • Certified Meeting Professional (CMP) designation preferred, but not required

  • Execution of 500+ person event(s) previously preferred 

  • Working knowledge of office suite including Powerpoint, Excel and Work and/or Google Suite

  • Technical aptitude with working knowledge of of event software for in person and virtual events

  • Knowledge of Wrike or like project management software preferred

  • Knowledge of Cvent or like event registration software preferred 

  • Travel will be required, up to 25% annually

Soft Skills / Competencies

  • Create and revise room / booth layouts for each event

  • Propose new ideas to improve the event planning and implementation process

  • Assist with managing on-site production and clean up for events as necessary
