Job Description

Summary

Under general supervision, performs complex secretarial support for division manager and

assigned staff. Responsible for medical record/document retrieval and uploading

processes. Leads team of staff designated to specific tasks and roles and oversees performance and quality.

Essential Duties and Responsibilities

include the following. Other duties may be assigned, as necessary.

  • Accurately and efficiently retrieves medical records, via EMR access and fax
  • Maintains high regard for patient privacy in accordance with the corporate privacy
  • policies and procedures.
  • Corresponds with pharmacy personnel requesting documents.
  • Scans, attaches, and files assigned documents. Scans and files all patient
  • paperwork received via inbound faxing or physical mail. Supports quality efforts to
  • audit and upload work orders, delivery tickets, etc.
  • Sends all prescriber orders via fax and tracks them for signature
  • Receives/reviews all incoming correspondence and mail, routing it to the
  • appropriate department or individual
  • Prepares detailed outgoing correspondence
  • Faxes documents as necessary
  • Maintains files of correspondence
  • Attends, holds, and organizes departmental meetings
  • Organizes and maintains complex computerized and manual files, records,
  • inventories, and data bases including backing up and purging systems, annotating
  • files, and retrieving data in report form as required
  • Ensures office efficiency is maintained through oversight, coaching, and
  • management of direct reports. Meets with staff annually at a minimum to review
  • performance and quality.
  • Ensures security, integrity, and confidentiality of data while maintaining team's
  • accuracy of tasks. Designs training and processes to improve efficiency and
  • accuracy.
  • Consistently represents the company in a professional manner
  • Maintains effective working relationship and cooperate with all personnel in the Company
  • Adheres to the Company's compliance requirements as stated in the policy and
  • procedure manual and all other related policies
  • Performs other duties and responsibilities as assigned for leadership role.

Education and/or Experience

  • High school diploma or equivalent required with some specialized training.
  • Three (3) years related secretarial experience.
  • Previous leadership or management experience (2) two years minimum.

This job generally operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
