To support this work, we are seeking an Admission & Billing Co-ordinator to oversee the patient journey from referral to discharge, ensuring admissions, billing, documentation and health fund obligations are managed accurately, efficiently and compassionately. This role is critical to supporting exceptional patient experiences, revenue integrity and operational excellence across a growing national service.
The Opportunity
You will work closely with patients, clinicians, health funds and internal stakeholders to support a seamless care experience while maintaining billing accuracy, revenue integrity and operational excellence.
This role goes beyond day-to-day administration. You will help optimise billing processes, maintain compliance and data integrity, and contribute to continuous improvement initiatives across a growing national service.
What You’ll Do
Coordinate the patient journey from referral through to discharge, ensuring admission documentation is complete and managed in a timely manner
Manage patient administration within WebPAS, maintaining accurate records, patient information and required documentation
Ensure Informed Financial Consent and out-of-pocket costs are completed prior to or on admission
Produce accurate patient accounts and process billing in line with health fund contracts, business rules and private healthcare requirements
Liaise with health funds, clinicians and internal stakeholders to resolve claims, billing queries and outstanding documentation
Track and reconcile patient episodes, claims and banking transactions, escalating discrepancies where required
Support audits, compliance and data integrity requirements to ensure accuracy, confidentiality and regulatory adherence
Identify opportunities to improve systems, processes and billing practices to enhance operational performance and patient experience
Act as a key point of contact for revenue-related enquiries from patients, staff and external stakeholders
Contribute positively as a collaborative team member, supporting broader operational priorities across the business.
About You
You are a highly organised and detail-oriented administration professional who thrives in fast-paced healthcare environments and takes pride in delivering an exceptional patient experience.
You bring strong attention to detail, stakeholder engagement capability and the ability to balance patient care, billing accuracy and operational priorities in a dynamic setting.
Key Experience & Capability:
Previous experience in a Billing, Accounts Receivable or Patient Administration role within private healthcare
Demonstrated experience interpreting Health Fund contracts and billing rules
Experience using Patient Administration Systems within a healthcare organisation (e.g. WebPAS or similar)
Working knowledge and understanding of medical terminology and healthcare billing processes
Strong organisational skills with the ability to multi-task, prioritise and work autonomously
Excellent written and verbal communication skills with strong stakeholder management capability
High level attention to detail and accuracy in administration and billing activities
Intermediate capability across Microsoft Excel, Word and Outlook
Confidence in debt collection, account reconciliation and billing follow-up processes
Ability to build collaborative and effective relationships across multidisciplinary teams.
Desirable
Knowledge of the private health insurance industry
Working knowledge of Medicare rules
Understanding of relevant healthcare legislation and industry regulations.
