First point of contact for the recruitment team; responsible for continuous support to the hiring & Onboarding process and employee questions over the mentioned process.

Job Description

The Hiring and onboarding Support Specialist serves as back office/admin for tactical and transactional tasks for the Americas TA COE, on the processes of talent acquisition, new hires and onboarding.

Is accountable of day-to-day support service delivery under agreed global process SLA’s and fulfillment of steps in all HUB companies, achieving KPI’s and guaranteeing SLAs are fulfilled accordingly, also reducing deviations and exceptions and ensuring compliance and adherence to current policies.

The Hiring and Onboarding Support Specialist will manage tasks/transactions related to administration of the defined back-office HUB TA process to prioritize flawless execution and global/regional alignment. The role will always focus on execution and customer service quality, continuous improvement and process adherence.

Key Responsibilities:

  • Provides tactical and transactional support to AMERICAS TA COE daily.
  • Supports On site transactional elements of recruitment lifecycle in accordance with Service Level Agreements and the Primary Recruiter (including schedule interviews, screening candidates, candidate Workday system updates, background check requests and hiring forms, among others).
  • Coordinates pre-onboarding requests and logistics, from hiring to contract signing.
  • Participates on continuous improvement projects and initiatives, as well as TA related enhancements.
  • Builds strong relationships with the client (Primary Recruiter & Hiring Manager) through understanding of Talent Acquisition business processes and position requirements.
  • Lead the delivery of a seamless recruitment process to improvement measures essential for future HR transformations.
  • Executes recruitment support duties while ensuring compliance of policies and regulations on site.
  • Utilizes appropriate HR systems (Workday, Outlook, Excel) and other tools to execute daily recruitment support tasks.
  • Asist on site the new employee on filling all legal files to complete their first day.
  • Prepare and be aware of many other supports related to the onboarding program.
  • Participates actively in the onboarding session on the first day of the new employee.
  • Work closely to HRBP teams to ensure the correct Hard copy file.
  • Manages E2E pre-hire and hiring process.
  • Onsite support for each candidate in the Manufacturing recruitment process giving advice on the step to follow the process.
  • Onsite support in both Manufacturing plants (A1 and A2).

Qualifications:

Desire Skills and Experience:

  • Bachelor’s degree or equivalent, psychology, business administration or related field of studies.
  • Advanced English level.
  • Minimum 2 years of HR generalist/recruitment support experience in a high-volume environment (experience in Shared Service Center is a plus)
  • Thought partnership, detail and result orientation, communication.
  • Problem solving skills.
  • Structured work approach and a focus on delivering result.
  • Workday or other HR systems experience is preferred.
  • Demonstrated ability to prioritize and self-manage in a deadline-oriented environment with frequent interruptions.
  • High organization, structure, and tracking skills.
  • A proactive and positive approach combined with agility and a “can do” attitude.
  • Strong collaboration, customer service and communication skills
  • Working knowledge of MS Office (Excel high level required): processor, spreadsheet (highly proficient), presentation (highly proficient).
  • Availability to be onsite during the week.
